The Operations (Construction) Coordinator supports the Operations Construction team by coordinating project administration, budgets, property and utility activities, finance processes, documentation, and team activities across Real Estate and Customer Experience. The role helps ensure Make Ready works, Capex activity, and day-to-day estate matters are organised, accurately recorded, and progressed on time.
The coordinator works with Operations Construction Managers, Real Estate & Customer Experience Managers, Finance, Accounts Payable, Legal, Billing and Data teams, as well as contractors, suppliers, consultants, and utility providers. The role also supports vacant property and estate activities by progressing actions, maintaining records, and escalating risks, blockers, or delays when needed.
Key responsibilities include:
- Coordinate Operations Construction and project activities by attending team and project meetings, tracking actions, following up on outstanding items, and escalating risks, blockers, or delays where needed.
- Maintain Forecast Manager, Make Ready Tracker, BUD, and Project Tracker information; create and maintain organised project files in Box to support Capex budget reporting and complete project documentation.
- Raise and manage purchase orders for Capex and Make Ready works, coordinate Make Ready contract documentation with Legal and relevant stakeholders, and support the annual Make Ready and Capex budgeting process with Operations Construction Managers and Finance.
- Coordinate electricity, gas, and water supplies, including contract renewals, move-ins, move-outs, and supplier transfers; progress health and safety actions and support the day-to-day management of estate common areas and vacant properties with internal colleagues and external vendors.
- Support annual Opex and estate service charge budgeting, assist with new supplier setup in PeopleSoft, and work with Accounts Payable, suppliers, and consultants to resolve utility billing issues, invoice coding, overdue accounts, and notices.
- Work with external accountants in relation to our management companies and estates for service charge payments and reconciliations.
- Coordinate the innovation/1% improvement scheme and follow associated actions through to completion.
- Liaise with Billing and Data Managers to coordinate wider Real Estate and Customer Experience team matters, meetings, and events.
Required:
- Experience in project coordination, construction administration, facilities, property, or a similar role.
- Ability to organise multiple priorities and deadlines and follow actions through accurately to completion.
- Experience working with budgets, purchase orders, invoices, and project records.
- Working proficiency in Microsoft Office.
- Clear written and verbal communication skills for coordinating with internal teams, suppliers, consultants, and other external stakeholders.
- Ability to travel to project sites and meetings as required.
Preferred:
- Experience with PeopleSoft, Box, or project tracking systems.
- Demonstrates willingness and capability to leverage emerging technology, automation, and AI tools to improve efficiency, quality, and speed.
- Exercises sound judgment, creative thinking, and accountability for outcomes.
- Ability to work 5 days per week at the office.
