We are seeking an experienced Executive Assistant to support the CEO, with a strong focus on delivering business change initiatives across HR, Quality Assurance (QA), and IT, all of which are externally contracted services. The role combines traditional CEO-level EA support with hands‑on business operations and transformation support, ensuring outsourced providers are effectively managed and internal business processes are improved and embedded. This is a highly visible, trusted position working closely with the CEO and senior stakeholders. This position would be Fixed Term Contract for 6 Months working Full‑Time hours (40 Hours Per Week) based at our Head Quarters in Fleet, Hampshire.

Key Responsibilities include:

  • Executive Support: Proactive diary and email management for the CEO, prioritising and filtering communications; Coordination of CEO travel arrangements, accommodation, visas, and itineraries; Management and submission of CEO expenses; Preparation of briefing packs, presentations, reports, and meeting agendas; Acting as a key point of contact between the CEO and internal/external stakeholders.
  • Business Change & Transformation: Support and help deliver business change initiatives across: HR (outsourced providers, policies, onboarding, contracts), Quality Assurance (QA) systems and compliance, IT services and third‑party technology providers; Coordinate and manage relationships with external service providers, ensuring delivery against scope, timelines, and expectations; Track actions, risks, and progress on change initiatives and report to the CEO; Assist in documenting processes, governance, and controls as changes are implemented; Ownership and company expert of business data systems including the use of SharePoint for data storage and access & Teams for meeting management; Co‑ordination and ownership of all Business Risk, Escalation, Action, Decision and improvement logs.
  • Business & Office Operations: Oversight and coordination of office management and facilities in Fleet; Support general business operations and internal administration; Assist with contract administration and supplier coordination; Ensure smooth day‑to‑day running of support functions.

Skills & Experience Required:

  • Proven experience as a senior or Executive Assistant supporting a CEO or senior executive.
  • Demonstrable experience supporting business change, transformation, or operational improvement.
  • Experience working with outsourced / contracted HR, QA, and IT providers.
  • Highly organised, proactive, and confident working autonomously.
  • Strong stakeholder management and communication skills.
  • Excellent attention to detail and discretion with confidential information.

Desirable:

  • Experience within engineering, consultancy, or professional services environments.
  • Familiarity with QA frameworks, compliance, or ISO-type environments.
  • Experience supporting growing or scaling businesses.
