HYBRIDFACILITIES COORDINATOR – REACTIVE & SALES
COMPANY OVERVIEW
A growing facilities management business is looking for a Facilities Coordinator to join their team.
This is a varied role covering customer service, reactive facilities management, sales support, tenders and business development. You’ll work closely with customers, engineers, subcontractors, suppliers and the wider team.
This is a great opportunity for someone who enjoys a busy role and wants to develop their experience across both operations and commercial activity.
JOB PURPOSE
The role will be responsible for coordinating reactive customer jobs from start to finish, while also supporting sales, tenders and business development.
You’ll be a key point of contact for customers and will help make sure jobs are dealt with quickly, customers are kept updated and all records are kept accurate.
You’ll also support the sales pipeline by helping with tenders, quotations, lead generation and LinkedIn activity.
JOB RESPONSIBILITIES
- Act as a first point of contact for customers by phone and email
- Coordinate reactive jobs and make sure SLAs are met
- Work with engineers to arrange labour and site attendance
- Book subcontractors and suppliers
- Obtain supplier and subcontractor quotations
- Prepare customer quotations and sales invoices
- Keep CRM and job management systems up to date
- Keep customers informed throughout the job
- Support smaller FM contracts when required
- Coordinate sales enquiries and tender opportunities
- Monitor tender portals and identify suitable opportunities
- Support the preparation and submission of tenders and quotations
- Maintain the sales pipeline and follow up opportunities
- Research potential customers and new business opportunities
- Use LinkedIn to identify potential customers and leads
- Support targeted email and LinkedIn campaigns
- Help with company presentations, case studies and sales documents
- Support the company's LinkedIn and social media activity
- Research and use AI tools to improve sales and admin processes
- Maintain company information on procurement and tender portals
- Track tender deadlines, submissions and portal renewals
- Provide out of hours Duty Manager support on a 1 in 8 rota
SKILLS & EXPERIENCE
- Previous experience in facilities management, customer service, sales, business development, sales administration or tender coordination
- Strong organisational and administration skills
- Excellent communication skills, both written and verbal
- Confident dealing with customers, suppliers and contractors
- Comfortable managing multiple tasks and deadlines
- Commercial and proactive approach
- Experience using CRM or job management systems is beneficial
- Comfortable using LinkedIn and digital platforms
- Ability to research businesses and identify potential opportunities
- Interest in AI and new technology
- Able to work independently and as part of a team
- Previous FM experience is desirable but not essential
SALARY & BENEFITS
Salary up to £34,000
Full time, 40 hours per week
Monday to Friday, normally 8am-5pm
Hybrid, with 3 days in the office and 2 days working from home
