This is a team lead role responsible for leading and motivating a team of project coordinators to deliver end-to-end Purchase Order management services to the Programme and Project community. The role also involves driving improvement initiatives to meet targets and enhance efficiency.
Key Responsibilities:
- Manage the entire Purchase Order process, including administration and coordination within the Project Team and IFS finance management tool.
- Maintain data integrity across systems related to Purchase Orders.
- Oversee queues and workflows, ensuring balanced work distribution to meet SLA targets.
- Review team performance against KPIs and ensure SLA compliance.
- Induct, train, motivate, and coach team members to uphold high standards of customer service.
- Track and report on POs and project financial status using the IFS system.
- Validate and reconcile invoices with project milestones for accurate payments.
- Develop dashboards to support delivery managers in payment milestone accuracy and duplication avoidance.
- Ensure timely Goods-Receipting of POs in coordination with project managers and liaise with finance and suppliers to resolve invoice issues.
- Run weekly mass goods-receipting processes and resolve arising issues proactively.
- Forecast, track, control, and report on PO outcomes.
- Maintain low aged GRNI levels throughout the year.
- Challenge process or governance deviations, ensuring all POs have valid business justifications and funding.
- Handle escalations related to purchase orders.

- Knowledge of ERP systems such as IFS, SAP, Oracle.
