Key Responsibilities:
- Personal assistant to Director, manage the diary, coordinate and maintain day to day administrative and secretarial services, handle travel arrangements as required, including hotels and tickets bookings.
- Document management: draft documents (letters, meeting minutes, reports, etc), in addition to handling and maintaining confidential information, filing documents and tracking the process.
- Event management: schedule appointments, prepare and coordinate meetings, organise department activities.
- Manage the department’s awards: draft/update the annual award policy, collect nominations and organise the selections. Follow up the award publication and process the payments.
- Assist the Director to maintain external relations.
- Work closely with Finance and Procurement team in terms of PR/PO raising, invoice receiving and expense claiming.
Person Specification:
- University degree in Business Administration/HR/Psychology or other relevant subject with major in Management or specialized qualification preferred.
- Language skills: proficient in both English and Chinese is essential.
- Good command of MS Office (Word, Excel, PowerPoint, Outlook) and design software (Photoshop, AI, ID).
- Proactive, demonstrates excellent communication interpersonal skills, confidentiality and professionalism.
- Must be systematic, detail oriented, efficient and able to handle multiple tasks with discretion.
