Bid Coordinator

Department: Operations - Office Based

Location: Liverpool - On Site

Compensation: Β£40,000 - Β£45,000 / year

Description

P4 isn't your typical safety consultancy. We exist to bring clarity, pace and real-world support to an industry often bogged down in red tape and vague advice. We work with clients, design teams and contractors across the UK from offices in Liverpool, Manchester, Leeds and London.

We talk like real people. We are not here to impress with jargon or hide behind processes β€” we are here to help clients make smart decisions, avoid risk and deliver safer, better buildings. Our Building Safety Act team is growing, and this role is central to that growth.

We recognise that every person is unique, and we work hard to build a culture where everyone can be themselves. Whether that means flexibility around individual needs or simply making sure people have someone to talk to when they need it, we want everyone here to feel welcome, heard and valued.

About the role

This role will be office-based at our Liverpool head office on Mann Island, Liverpool Waterfront, with occasional travel to our Manchester, Leeds and London offices. The hours are 40 a week, Monday to Friday.

You'll be the person who makes our bids happen. Our technical people know building safety inside out, and you'll turn that expertise into clear, compliant, winning submissions, delivered on time. You'll own the process from opportunity to submission, freeing our directors and consultants to focus on the content only they can provide.

This is a chance to shape how a growing specialist consultancy bids. You'll build the processes, content library and habits that become "how we do it here".

  • Monitor tender portals and frameworks, keep supplier registrations current, and prepare short opportunity summaries for bid/no-bid decisions
  • Maintain a bid pipeline tracker covering deadlines, status, owners and outcomes
  • Break down tender documents and scoring criteria, build a bid plan for each submission, and chair kick-off meetings
  • Track every requirement on a compliance matrix, and raise clarification questions through the right channels
  • Draft, edit and tailor responses, turning technical input into clear, persuasive answers written to the scoring criteria
  • Organise internal reviews and sign-off, run final compliance checks, and submit through client portals on time
  • Build and maintain a central bid library, keeping content and certificate expiry dates up to date
  • Request feedback on every bid, won or lost, and report win rates and lessons learned to the leadership team

What you will Bring

  • Experience coordinating bids, tenders or proposals
  • Experience of formal tender processes and online procurement portals
  • Clear, concise, persuasive writing in plain UK English, with strong editing and proofreading
  • The ability to manage several bids at once against fixed deadlines
  • The confidence to chase senior colleagues for input and hold them to deadlines
  • Strong Microsoft 365 skills, especially Word, Excel and SharePoint
  • A detail-focused, calm and proactive approach, and a willingness to learn the building safety sector
  • Desirable:
    • Bidding experience in construction, property, engineering or professional services
    • Knowledge of the Procurement Act 2023 and public framework bids
    • Experience setting up bid processes or a content library from scratch
    • Design or layout tools, and bid management or CRM software
    • Awareness of the Building Safety Act 2022 and the Building Safety Regulator
    • APMP Foundation or a similar bid qualification
    • An interest in using AI tools to speed up drafting and research

What's in it for you

  • 29 days' holiday including bank holidays, plus your birthday off and a Christmas shutdown on top
  • Loyalty days after three and five years
  • Pension Scheme
  • An option to join our private healthcare scheme after three months
  • A salary sacrifice car scheme
  • Regular CPD support and company equipment
  • Team socials and celebrations of success
  • Flexible working requests welcome from day one

This role is powered by Vadella - a growing group of specialist compliance businesses in fire safety, water hygiene, asbestos, HVAC and health & safety, giving you the backing and opportunities of a bigger group.

We assess every application on its merits and welcome applicants from all backgrounds.
