We're growing our drawing team and looking for a Drawing Office Administrator to join us at our Exeter office.
About progressive
progressive is the south west's leading roofing and cladding contractor, delivering commercial projects for main contractors. Our in-house design capability is a big part of what sets us apart, and accurate, well-controlled project information is central to how we work.
We're a friendly, down-to-earth team that tells it straight, with clients and with each other. No overpromising, no excuses. Just people who know what they're doing and get on with it.
The role
You'll keep project information moving between our drawing office, site teams, clients and suppliers. That means producing specifications, confirming colours and finishes, and making sure the right drawings are in the right place, on every portal, at the right revision. This role sits right at the heart of how we deliver.
What we offer
- A competitive salary based on your experience, and a benefits package we're happy to talk you through
- 40 hours a week, Monday to Friday. No weekends.
- Flexible start and finish times
- The chance to develop new skills and build a proper long-term career with progressive
- A team that genuinely gets on, with charity events and socials throughout the year
What you'll be doing
Specifications
- Writing project specifications for roofing and cladding packages using our company template
- Pulling information from quotations, supplier data sheets and tender documents to build accurate specs
- Checking specifications against drawings and manufacturer requirements, then issuing for internal review
- Issuing specifications to main contractors for approval
- Making sure approved specs are used to order the correct materials, and that site teams have them so systems are installed correctly
- Keeping a controlled register of specification revisions for each project
Colour confirmations
- Getting colour and finish selections from clients and main contractors
- Issuing formal colour confirmation documents and recording sign-off before anything is ordered
- Flagging any mismatch between confirmed colours, orders or drawings straight away
- Uploading drawings, specifications and technical submissions to client and main contractor portals such as Procore, 4Projects, Asite and Aconex
- Following each portal's naming conventions, status codes and revision rules
- Tracking submission status and chasing comments or approvals so the programme keeps moving
- Monitoring portals and email for new or revised architectural, structural and contractor drawings
- Downloading, filing and logging incoming drawings, with superseded revisions clearly marked
- Letting the design team and site managers know when drawings affecting their work have changed
Managing our Procore
- Acting as the day-to-day administrator for the drawing office's Procore
- Setting up projects, users, permissions and folder structures
- Managing the drawings, documents, RFIs and submittals tools, and keeping logs up to date
- Helping colleagues with Procore queries and keeping internal guidance current
General drawing office admin
- Maintaining drawing registers and document control records for all live projects
- Preparing transmittals and keeping a clear audit trail of what was issued, to whom and when
- Working with other departments on lead times and information flow
- Supporting the drawing office with general admin as needed
What you'll need
- Experience in an admin or document control role, ideally in construction
- Confidence reading and understanding construction drawings, revisions and status codes
- Strong written English and a high standard of accuracy on technical documents
- Good working knowledge of Microsoft Office, especially Word, Excel and Outlook
- Comfort using online document management systems, and the ability to pick up new ones quickly
- The ability to juggle several live projects and deadlines at once
Nice to have
- Hands-on Procore experience, ideally with admin rights
- Experience with other portals such as Asite, 4Projects or Aconex
- Knowledge of roofing and cladding systems, products and terminology
- Familiarity with RAL and manufacturer colour ranges and coating systems
- Some experience viewing or marking up drawings in PDF or CAD viewers like Bluebeam
You’ll be someone who is
- Meticulous, with a genuine eye for detail
- Organised and methodical, with a tidy approach to filing and registers
- Proactive, chasing information and approvals rather than waiting for them
- Clear and professional with clients, main contractors and suppliers
- Happy working independently while being a reliable part of a small team
