Reports to: NPD Manager

Location: North Cave Head Office (fully on-site)

Hours: Monday to Friday, 08:30 – 17:00

Package: Competitive, dependent on experience

THE ROLE

Based at our Head Office, the Product Development Administrator provides practical and administrative support to the NPD team across all three of our brands. The role manages the sample storeroom, maintains product and supplier data in the ERP system, obtains and files supplier test reports, and creates and tracks sample orders.

This is a fully on-site, Head Office-based role because it requires daily access to physical samples and materials.

ABOUT US

We design and manufacture protective clothing for people who work in genuinely hazardous environments. Our work spans three established brands, each serving a different market and each with its own technical demands.

ProGARM is an independent business and the UK’s only manufacturer specialising 100% in arc flash and flame-resistant PPE, supplying the industrial electrical, utilities, rail, power generation and petrochemical sectors. FlamePro Defence supplies defence apparel, signature management and medical capability lines to the UK MOD and NATO/EU defence customers. FlamePro Fire supplies protective apparel to fire and rescue services.

The NPD team works across all three brands, which means the products, materials and test standards this role supports are varied and technically demanding.

CORE PURPOSE

To keep new product development moving by holding the detail: accurate product and supplier records, an orderly and traceable sample storeroom, test documentation filed correctly and on time, and sample orders tracked through to receipt.

WHAT YOU’LL BE DOING

Sample storeroom and physical samples

  • Manage the NPD sample storeroom, keeping prototypes and material samples organised, clearly labelled and easy to locate.
  • Record incoming and outgoing samples, storage locations, movements and returns, keeping physical items aligned with the department’s records.
  • Carry out regular stock checks and report missing, damaged, obsolete or low-stock items to the NPD team.
  • Prepare and dispatch samples to suppliers, testing laboratories or internal teams, tracking their return where required.

Product and supplier data

  • Create and maintain product codes in the ERP system in line with agreed data standards.
  • Enter and update product, material and supplier data, checking records and following up to resolve missing information.
  • Create routine ERP reports, spreadsheets and trackers for the NPD team.

Test reports and technical documentation

  • Request test reports from suppliers, track outstanding requests and alert the NPD team to delays.
  • File test reports in the testing library using the correct naming and version controls, linked to the relevant material or product.

Sample orders and team support

  • Create and manage sample orders for materials and prototypes, confirming item details, quantities, supplier and delivery requirements.
  • Monitor sample orders through to receipt, update the records and notify the NPD team of delays or discrepancies.
  • Provide day-to-day administrative and coordination support to the NPD team.

WHAT WE’RE LOOKING FOR

  • Previous experience in an administrative or coordination role. Experience in product development, purchasing, supply chain, stock control or a technical environment would be an advantage.
  • Experience using an ERP or similar business system to create and maintain accurate records.
  • Confident using Microsoft Excel and Word, including preparing reports, spreadsheets and trackers.
  • Excellent attention to detail and a consistent approach to product codes, data and documentation.
  • Strong organisational skills, with the ability to maintain orderly physical storage and electronic filing systems.
  • Clear written and verbal communication, with the confidence to follow up with suppliers and internal colleagues.
  • Able to manage several priorities, track outstanding actions and complete follow-ups on time.
  • Reliable and proactive, with a practical approach to detailed and routine work.
  • Comfortable handling, labelling, packing and organising garment and material samples as part of the daily role.
  • Able to work collaboratively and support a busy NPD team. Experience with textiles, garments, PPE or testing documentation would be helpful but is not essential.

CAREER PATH

This role gives you a broad view of how technical products are developed, tested and brought to market across three brands. Realistic next steps include moving into a product development coordination role with ownership of your own projects, or into technical or purchasing roles within the wider business.

We invest in training for the people who show they want it, including product and materials knowledge, ERP capability and the relevant technical standards.
