Proclinical is seeking a Medical Operations Manager to join a dynamic team focused on driving operational excellence within the Medical Affairs function. In this role, you will oversee key processes such as compassionate supply programs, operational enhancements, and compliance initiatives. You will collaborate with internal and external stakeholders to ensure timely and efficient execution of projects, contributing to the delivery of innovative solutions for patients with unmet medical needs.
Responsibilities
- Manage compassionate supply programs, including Early Patient Access Schemes (EAMS) and Individual Patient Supply Requests (IPSR), ensuring compliance with local and global regulations.
- Lead operational tasks for EAMS, coordinating with internal teams and external sites to resolve issues and ensure smooth program execution.
- Oversee the review and update of SOPs, work instructions, templates, and training materials related to compassionate supply and early access schemes.
- Drive operational excellence by identifying opportunities for process improvement, simplification, and automation.
- Monitor and improve operational KPIs, such as turnaround times, audit readiness, and deviation reduction.
- Partner with IT and digital teams to implement automation solutions for reporting, tracking, and workflow management.
- Support or lead audits impacting the Medical Affairs team and broader business.
- Prepare monthly metric reports, quarterly business updates, and end‑of‑year medical reports.
- Maintain governance across SharePoint and other repositories, ensuring version control and document lifecycle management.
- Support the rollout of initiatives impacting the UK‑IE Medical team.
- Actively participate in team meetings and contribute to the development of forward‑looking operational strategies.
Key Skills and Requirements
- Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in IT tools, including MS Office (Outlook, Word, PowerPoint, Excel) and platforms like PowerBI, SAP, Concur, Veeva, and SharePoint.
- Demonstrated ability to work autonomously, meet tight deadlines, and adapt to changing priorities.
- Strong interpersonal and stakeholder management skills.
- High attention to detail and ability to handle sensitive information with professional judgment.
- Knowledge of the ABPI Code of Practice and pharmaceutical industry experience is desirable.
- A scientific background or advanced tertiary education (e.g., degree or Master's) is advantageous.
- Proven experience in project coordination, managing patient access programs, and leading operational rollouts.
