Are you an organised, proactive and confident administrator looking for a role where you can truly make a difference? Procare Adult Community Nursing (PACN) is seeking a highly motivated Community Services Personal Assistant (PA) to provide exceptional administrative and secretarial support to our leadership team. This is a varied and rewarding role at the heart of our community nursing service. You will be a key point of contact for staff, patients, external partners and senior leaders, helping to ensure the smooth running of services that directly support patient care across the community.

We are looking for someone who:

  • Has strong administrative or PA experience
  • Is confident managing competing priorities and working with minimal supervision
  • Communicates clearly, professionally and with warmth
  • Is highly organised with excellent attention to detail
  • Is comfortable handling confidential and sensitive information
  • Is proficient with Microsoft Office and confident learning new systems
  • Enjoys supporting others and contributing to high-quality patient-focused services

Main duties of the job:

  • Provide high-quality administrative and secretarial support across PACN
  • Manage complex diaries and inboxes
  • Handle sensitive and confidential information with professionalism
  • Coordinate, minute and organise a wide range of meetings and events
  • Prepare reports, presentations, agendas and correspondence
  • Support recruitment, induction and staff onboarding
  • Maintain efficient digital filing systems and contribute to paper-free working
  • Liaise with internal teams and external organisations, acting as a professional and welcoming first point of contact
  • Assist with the administration of complaints, compliments and audit data
  • Manage travel arrangements, room bookings and service-wide communication
  • Oversee equipment, maintenance requests and office supplies
  • Process invoices, expenses and payroll-related information

This is an excellent opportunity for someone with initiative, common sense and the ability to work independently in a fast-paced environment. You will interact with staff at all levels across the organisation, as well as system partners, requiring strong communication skills and a positive, flexible approach. Experience in healthcare, the NHS or a similarly complex environment is desirable but not essential.

Person Specification:

  • A levels and/or secretarial qualifications and/or NVQ Level 3 or equivalent.
  • Ability to audio type.
  • Strong organisational skills: ability to work to deadlines, prioritise tasks, manage own workload.
  • Good working knowledge of office administrative and secretarial practice and systems, including diary management and use of email.
  • Advanced word processing and desktop publishing skills.
  • Able to use Microsoft packages to set up documents and spreadsheets and extract information.
  • Previous experience of administrative, clerical work and secretarial work.
  • Knowledge of basic financial practices and systems.
  • Knowledge of contract & service level agreements.
  • Experience of using Patient Administration Systems.
