Role Overview: proAV are a leading global audio visual integrator, providing AV and event services across multiple client partnerships globally. Our immediate requirement is for an experienced Personal Assistant to be a key part of our Egham team, representing proAV, taking full responsibility for looking after the needs of two Directors within the business. This is an exciting opportunity for an exceptional, experienced Personal Assistant to join an established operation with scope to drive and enhance the service at every opportunity. Experience and seniority of the position will be reflected by the remuneration and benefits package.
Key Responsibilities:
- Provide full secretarial support to the Directors, as well as other members of the management team where required.
- Typing of correspondence & managing emails.
- Ensure that all client requirements are dealt with or escalated in a timely fashion to meet established goals and objectives.
- Understanding of company policy & processes and adherence in both client and internal environments.
- Taking and typing minutes of meetings.
- Microsoft Dynamics; Office: creation and formatting PowerPoint presentations; creating, updating Excel spreadsheets; Outlook management of emails; Sharepoint.
- Liaison with colleagues, clients & suppliers.
- Any personal tasks as assigned by the directors.
- Booking, aiding and evaluating travel requirements; cost analysis of travel to be considered.
- Assisting with the creation and amendments of quotations & valuations.
- Organising and maintaining diaries, making appointments, organising and prioritising daily workload, coordinating reservations, sending RSVPs to events, and scheduling/assisting with meetings as necessary.
- Assisting with event management and organisation of company events and employee engagement activities.
- Managing & submitting expenses for multiple directors.
- Assist with facilities management including liaising with suppliers, booking maintenance visits & managing & responding to the facilities mailbox enquiries.
- General admin duties filing, maintaining of project files, systematic organisation of working environment.
- Screening telephone calls, enquiries & requests and handling them when appropriate.
