This role is an excellent opportunity for an experienced PA/EA to join a dynamic environment, supporting senior leadership and ensuring seamless day-to-day operations within the bankβs technology division.</p><h3><strong>Key Responsibilities:</strong></h3><ol><li><strong>Diary Management & Coordination:</strong> Proactively manage the CIOβs schedule, prioritizing key meetings and ensuring all necessary documents are prepared in advance.</li><li><strong>Meeting Support:</strong> Monitor timekeeping for meetings, ensuring the Executive runs to schedule and all materials are ready.</li><li><strong>Internal Coordination:</strong> Collaborate with colleagues across the group, including executives.</li><li><strong>Confidential Information Management:</strong> Handle sensitive data and high-level queries with discretion and professionalism.</li><li><strong>Travel Arrangements:</strong> Plan and manage comprehensive travel itineraries, including flights, hotels, taxis, and visas, ensuring smooth journeys for senior leaders and visitors.</li><li><strong>Committee Secretariat:</strong> Support committees by collating and distributing papers, taking minutes, and tracking action points.</li><li><strong>Communication & Reporting:</strong> Draft and send emails, prepare reports and presentations for high-level meetings, and assist in team/departmental updates.</li><li><strong>CIO Mailbox Management:</strong> Ensure timely responses to important emails and track deadlines.</li><li><strong>Event Management:</strong> Organize events and meetings for senior leaders and visiting executives.</li><li><strong>Expense & Leave Approvals:</strong> Oversee travel expenses, approve claims, and manage departmental leave requests.</li><li><strong>General Administration:</strong> Order supplies, maintain office housekeeping, and manage ad-hoc tasks as needed.</li></ol><p><strong>Experience required:</strong></p><ol><li>Proven experience as a Personal Assistant/Executive Assistant, preferably in the banking or financial sector.</li><li>Exceptional ability to manage complex schedules and prioritize multiple tasks.</li><li>Strong verbal and written communication skills, with the ability to draft professional correspondence.</li><li>Meticulous approach to managing sensitive information and preparing high-quality documents.</li><li>Comfortable using office software and systems for reporting, scheduling, and document preparation.</li><li>Experience handling confidential information with the utmost integrity.</li></ol> J-18808-Ljbffr
