We are looking for a highly organised and proactive Executive Assistant to provide dedicated corporate support to the Head of Digital Engineering, as well as the wider Management Team. This role plays a key part in ensuring smooth day-to-day operations, supporting strategic objectives, and representing the department across the broader organisation.

The ideal candidate will have significant experience as an Executive Assistant in a corporate environment, with excellent diary management, meeting coordination, communication, and organisational skills. Prior experience supporting Managing Director or C-Suite level executives is highly desirable.

Key Responsibilities:

  • Provide high-level executive assistance to the Head of Digital Engineering Services and Solutions and the department's Management Team.
  • Manage complex diary coordination, prioritise meetings, and ensure all necessary papers and materials are prepared in advance.
  • Act as meeting host, timekeeper, and liaison for both internal and external stakeholders.
  • Coordinate high-profile events, departmental Town Halls, and visits from senior leaders and international colleagues.
  • Handle confidential information with discretion and manage sensitive queries efficiently.
  • Monitor executive inboxes, prioritise correspondence, and ensure timely responses.
  • Arrange detailed travel itineraries, including flights, hotels, visas, and transport, while managing expenses and leave requests.
  • Prepare high-quality reports, presentations, and committee papers, ensuring accuracy and attention to detail.
  • Take minutes and track actions from Management Team meetings, ensuring follow-up and progress updates.
  • Support department onboarding for new starters and maintain office organisation and supplies.
  • Serve as the first point of contact for business administration queries, establishing strong rapport with senior executives, peers, and visitors.

Skills & Experience:

  • Essential: 5+ years of Executive Assistant experience in a corporate environment.
  • Proven ability to interact effectively with Senior Management.
  • Experience managing sensitive information and complex schedules.
  • Strong IT skills, including advanced MS Office (Word, Excel, PowerPoint, Outlook).
  • Degree educated or equivalent.
  • Desirable: Financial Services industry experience.
  • Previous support to Managing Director or C-Suite level executives.
