The Renewal Manager at Proactis Ltd is responsible for managing and driving the successful renewal of customer contracts across the company’s procurement SaaS portfolio. This role plays a critical part in retaining revenue, strengthening customer relationships, and identifying opportunities for growth within the existing client base. Working closely with Customer Success, Sales, and Account Management teams, the Renewal Manager ensures a proactive and structured approach to renewals, focusing on delivering value to customers and minimising churn.
The role requires strong commercial awareness, stakeholder management skills, and the ability to analyse customer usage and engagement to support renewal conversations. The Renewal Manager will own the end-to-end renewal lifecycle, including forecasting, pricing alignment, contract negotiation, and closing renewals in line with company targets. They will also act as a key point of contact for customers approaching renewal, ensuring a seamless and positive experience while reinforcing the value of Proactis solutions.
Success in this role requires a customer-centric mindset, strong organisational skills, and the ability to manage multiple renewal cycles simultaneously in a fast-paced SaaS environment.
Responsibilities- Own a defined portfolio of existing Proactis SaaS and software contracts, acting as primary point of contact for renewals, extensions and contract changes.
- Proactively manage renewal timelines and notice periods, engaging customers (including procurement/commercial teams) with a set timely cadence to avoid last-minute risk.
- Run end-to-end renewal cycle: review account health and usage, scope and price the renewal, prepare proposal and quotes, coordinate internal communication and escalations of commercial issues, secure required approvals, negotiate commercial terms within agreed guardrails, ensuring timely signature.
- Maintain accurate, detailed contract and renewal data across CRM and contract repositories (values, dates, terms, pricing, notice periods), ensuring information is reliable and accurate.
- Build and maintain a clear, data-driven renewal forecast for own portfolio, contributing to overall retention and expansion projections to Leadership and Finance.
- Operate within established commercial policies, discounting frameworks and processes and contribute to the development and improvement of renewal playbooks, templates and processes.
