We are looking for a number of Document Controllers to support our Design and Technical, Site Delivery, and Compliance teams. These roles are critical to keeping project information organised, accurate, and fully controlled. You will ensure drawings and documents are issued on time, correctly tracked, and securely stored, so the right people always have access to the right information and projects run smoothly.
KEY RESPONSIBILITIES
- Manage project documentation, drawings, and records using the organisation’s Electronic Document Management System (EDMS).
- Ensure information is correctly named, version-controlled, filed, and easily retrievable for project teams and stakeholders.
- Issue and distribute documents/drawings to internal teams and external parties, ensuring correct workflows, approvals, and deadlines are followed.
- Maintain document registers, trackers, transmittals, and revision histories to ensure full auditability.
- Support the Information Delivery Plan (IDP) / document production schedule, ensuring deliverables are issued in line with programme dates.
- Carry out document compliance checks (format, metadata, revision status, approvals) and support internal audits.
- Coordinate document exchange with external partners (consultants, subcontractors, suppliers) and ensure consistent standards are applied.
- Maintain records for quality, compliance, and handover documentation (e.g., certifications, test records, O&M manuals, as-builts).
- Provide administrative support to project teams, including meeting packs, minutes distribution, and document control reporting.
CANDIDATE PROFILE (TYPICAL REQUIREMENTS)
- Strong attention to detail with a structured approach to filing and version control.
- Confident IT skills, including Microsoft Office and experience using EDMS platforms (e.g., Viewpoint, Aconex, Asite, SharePoint or similar).
- Familiarity with construction drawings and document lifecycles (issue, review, approval, superseded, as-built).
- Ability to manage multiple priorities across projects and work to tight deadlines.
- Strong communication skills for coordinating across internal teams and external stakeholders.
