About the Role: The Contracts Administrator coordinates planned preventative maintenance (PPM), reactive works, and small projects. The role schedules engineers, books visits, tracks SLAs, manages surveys and quotes, maintains records, and supports purchasing to ensure services are delivered efficiently and to client requirements.
Hours of Work: Monday to Friday 9am – 5pm
What you will contribute to the team:
- Plan and schedule daily engineering work for engineers and subcontractors.
- Ensure jobs and PPM schedules are accurate and delivered on time.
- Coordinate PPM and reactive visits, including customer access and permits.
- Monitor SLAs, prioritise at-risk jobs, and escalate issues as needed.
- Communicate with customers and update job status in portals.
- Arrange surveys, capture scope and details, and liaise with subcontractors for quotes.
- Prepare and submit client quotes and follow up to schedule approved works.
- Raise purchase orders and support procurement to avoid delays.
- Maintain job documentation and hand over completed jobs for invoicing.
Candidate requirements:
- Experience in a planning, coordination, or logistics role.
- Good communication skills with customers, engineers, suppliers, and subcontractors.
- Strong organisation and time management skills.
- Ability to plan work efficiently with geographical awareness for scheduling engineers.
- Good attention to detail and ability to manage job updates and paperwork.
- Able to follow processes and learn new systems quickly.
- Competent with Microsoft Office; CAFM/service desk experience is a plus.
- Experience with surveys, subcontractor quotes, or client quotations is beneficial.
- Able to work independently and as part of a team.
