About Us

Private Secretary Group provides medical secretarial, practice management and administrative support services to consultants and clinicians working within private healthcare. As our business continues to grow, we are looking for a highly organised and proactive Medical Administrator & Business Support Coordinator to work closely with our Managing Director and wider team. This is a varied role which combines elements of healthcare administration, patient support, business administration, project coordination and operational support. No two days are the same. We are looking for somebody who enjoys being organised, solving problems, following up actions and helping a busy business run smoothly.

The Role

You will work closely with the Managing Director, Office Manager and Medical Secretaries to support both our consultants and the wider operation of the business.

  • Patient & Consultant Administration
    • Managing patient enquiries via telephone and email
    • Sending forms, questionnaires and information packs
    • Processing referrals and new enquiries
    • Supporting appointment booking processes
    • Chasing information, reports and correspondence
    • Liaising with hospitals, insurers and external providers
    • Updating patient records and internal systems
    • Assisting with billing administration and payment follow‑up
  • Business Support
    • Updating internal trackers and reporting documents
    • Supporting project implementation
    • Maintaining SOPs and operational documentation
    • Organising meetings and following up actions
    • Supporting the Managing Director with administrative projects
    • Identifying opportunities to improve systems and processes

Working Hours & Location

  • Monday to Friday
  • 08:30am - 5:00pm
  • 30‑minute unpaid lunch break
  • Full‑time position
  • Office‑based at Arnos Vale, BS4

Desirable Experience

  • Healthcare administration
  • Medical secretarial experience
  • Executive Assistant or Personal Assistant experience
  • Project coordination experience
  • Billing or finance administration experience
  • Experience using Microsoft 365
  • Experience using healthcare systems such as Carebit, Semble or Healthcode

Important

This is an office‑based role located in Brislington, Bristol (BS4). Applicants must be willing and able to work from the office Monday‑Friday. This position is not suitable for candidates seeking remote or predominantly home‑based working arrangements. The successful candidate will work closely with the Managing Director and wider team and will become heavily involved in the day‑to‑day running of the business.
