Personal Assistant / Daily Life Coordinator

20 hours per week - ideally 4 hours per day, Monday-Friday

Predominantly in person - Sheffield S2

Rate: Β£15-Β£20 per hour depending on experience

We are looking for an exceptional PA to take active responsibility for the practical organisation and smooth running of everyday life for a busy professional living with an acquired brain injury and ADHD.

The purpose of the role is to provide calm, consistent external structure so that essential daily life - self-care, home, food, appointments, leaving the house, rest and maintaining a sustainable balance - does not get displaced by work, ideas or competing demands.

The right person will be warm and personable, but also confidently directive and boundaried. They will be able to interrupt, redirect and hold the plan, despite diversions and distractions. This is not a passive "tell me what you need me to do" PA role.

You would be working alongside an Executive PA, who would be primarily supporting the individual with their professional life.

Responsibilities:

Daily-life coordination

Take active responsibility for helping the day run smoothly, including:

  • self-care and getting ready
  • meals and food
  • household organisation
  • errands, shopping, collections and returns
  • appointments and preparation
  • packing and preparation for work, travel or events
  • practical household tasks
  • protecting appropriate rest and recovery

Daily planning and orientation

The goal is for the individual being supported to receive a simplified plan for the day even though sophisticated organisation is happening behind the scenes.The PA should be able to use task lists, diaries and project-management systems to have an overview of what is happening, what needs preparation and what needs protecting, and provide a clear printed daily plan showing:

  • what needs to happen today
  • appointments and commitments
  • departure and transition times
  • what the PA team is handling

Active redirection

Recognise when attention has moved away from the agreed priority and confidently bring it back. Be willing to say, warmly and clearly: "That is important, but it isn't what we're doing at the moment." An interesting conversation should not result in missed lunch, unfinished self-care or being late for an appointment.

Organise captured information

The PA team uses a CORD-style productivity system. The individual being supported's role is to capture thoughts , often through voice. The PA team takes responsibility for clarifying, organising, reviewing, routing and completing what has been captured.

Transitions and time

Actively support transitions between activities rather than relying on an appointment time alone. For example, an 11:00 appointment may require:

Balance and commitments

Participate in a weekly whole-life review with the individual and the Executive PA. Look across work, home, appointments, caring responsibilities, relationships, self-care, recovery and upcoming commitments. Actively identify important areas of life that may have disappeared from view due to the individual's unreliable working memory. Help identify when the overall load is becoming unrealistic rather than simply finding ways to fit more in.

Work closely and directly with the Executive PA, to reduce the demand on the individual being supported. Relevant information and actions should be handled directly between PAs.

Continuity and handover readiness

Keep routines, household information, recurring responsibilities and relevant practical information documented and current. Nothing essential should exist only in one PA's memory or private notes. The system must remain sufficiently tidy and understandable that another competent PA could take over unexpectedly with minimal disruption.
