Senior Private PA / Executive Assistant to CEO

Location: Central London

Salary: £60,000–£70,000 per annum, depending on experience

Hours: 9:00am–6:30pm, Monday to Friday, with flexibility as required to accommodate an international schedule and the changing demands of a senior private PA role. Candidates should be comfortable adapting their working hours when needed.

Languages: Fluent English required; spoken French is an advantage

We are seeking an exceptional Senior Private PA / Executive Assistant to work within a private household in Central London, supporting a CEO who is based in Switzerland and travels frequently.

This is a substantial, independent role combining private PA duties, executive support, property coordination and financial administration. You will help manage a busy international lifestyle, including matters relating to homes and an art collection. You will take ownership of a varied workload from start to finish, checking details and following through on every important task.

The successful candidate will be discreet, highly organised and comfortable working independently without colleagues on site. You will have demonstrated that you can manage a demanding workload with limited day-to-day supervision, anticipate requirements and exercise sound judgement.

Key responsibilities

Private PA and executive support

  • Manage complex diaries, appointments, meetings, correspondence and day-to-day priorities.
  • Coordinate international travel and related arrangements, checking details carefully and taking account of established preferences.
  • Provide administrative support across the CEO’s business, personal and family matters, helping to manage the demands of a busy international lifestyle.
  • Organise meetings, webinars and online events, including invitations, scheduling, speaker coordination, technical arrangements and follow-up.
  • Prepare reports, documents, spreadsheets and briefings to a high standard.
  • Liaise with advisers, suppliers and service providers, following matters through to completion.
  • Maintain accurate records and organised electronic filing systems.
  • Identify scheduling conflicts, missing information and potential problems early, and propose practical solutions.

Properties, art collection and financial administration

  • Help coordinate matters relating to homes in different countries, liaising with property managers, household staff, contractors and other service providers.
  • Keep property records organised, track maintenance and other outstanding matters, and follow up until work is completed.
  • Assist with the administration of an art collection, including maintaining records and coordinating with relevant advisers, galleries, insurers or service providers.
  • Maintain budgets, expenditure records and accurate financial spreadsheets, including records relating to the properties.
  • Undertake day-to-day private and business bookkeeping and reconciliations, checking invoices and expenditure against the relevant records.
  • Prepare payments for approval and monitor their completion.
  • Organise financial documents and information for accountants and other advisers, including material required for VAT returns.
  • Track outstanding invoices, payments and financial queries, escalating anything that requires a decision.

About you

  • A minimum of five years’ relevant experience as a Private PA, Executive Assistant or Family Office Assistant supporting a CEO/Founder or principal.
  • Experience working in a private household or managing substantial private affairs alongside executive responsibilities.
  • Demonstrated ability to work independently in a private home, manage a demanding workload without day-to-day supervision and take responsibility for results.
  • Confidence in organising webinars and online meetings, including coordinating participants and handling practical arrangements.
  • Experience coordinating multiple properties, household matters or an art collection would be an advantage.
  • Strong numerical ability and practical experience with bookkeeping, reconciliations or financial administration.
  • Excellent written and spoken English, with confident and professional communication skills.
  • Exceptional attention to detail, particularly when handling travel, schedules, property matters and financial information.
  • Strong Microsoft Office skills, especially Excel.
  • Sound judgement, initiative and the ability to remain composed when priorities change.
  • A high degree of integrity, discretion and respect for confidentiality.
  • A strong employment history supported by verifiable professional references.
  • An undergraduate degree is preferred. Spoken French would be welcome but is not required.

You will be resourceful, personable and comfortable working independently in a private household while supporting a CEO with an international schedule. You will take pride in getting the details right and seeing matters through from the initial request to the final confirmation.
