Job Description
The postholder will be responsible for start-to-finish operational elements of the annual conference. This may include overseeing work done by a production supplier. In addition to the elements described below, the post holder will support overall delivery of the event and may also assist team members onsite at other PRI events throughout the year as required.
Core Responsibilities
Delegate Management- Track delegate recruitment for the PRI’s annual flagship conference, PRI in Person, monitoring ticket sales and providing weekly updates against agreed milestones
- Create and send outgoing communications to registered delegates and manage the process for responding to incoming queries
- Support the IT/website team in setting up the conference website, ensuring this is done to agreed timelines. This will also include the event app, badging and other elements of pre-event and onsite delegate experience as required
- Manage registration desk and registration staff onsite
- Collate and present post-event delegate stats, including any notable trends and/or year on year analysis
- Logistical support across the event will vary year on year, and representative tasks may include the list below:
- Branding and operational signage
- Sponsor branding and deliverables
- Catering
- Networking reception
- Security
- Onsite hosts
- Any other event specific logistical tasks (noting the event changes location year on year, so requirements vary)
- Work with Senior Event Manager and Event Director to maintain event budgets, research and secure optimal suppliers and ensure efficient payment timelines
- Work to agreed project timelines and review processes as needed, flagging where change would be optimal and/or suggesting improvements to workflow
- Ensure supplier invoices are tracked and paid in a timely manner
Person Specification
- Thorough understanding of the dynamics of large-scale conferences
- Excellent organisational skills and attention to detail
- Strong stakeholder management skills – both internal and external
- Collaborative mindset and solution-oriented approach
- Experience with Salesforce and/or other CRM/delegate management systems
- Interest in, and knowledge of, event-related technologies
- Outstanding analytical and critical thinking skills. Identifies process inefficiencies and solves problems in a structured and rigorous way with a view on implementing improvements.
