The post-holder provides routine administrative support to help ensure the efficient running of the service within the team. The role contributes to effective communication, accurate record keeping and the delivery of high-quality patient care in line with organisational procedures.

Main duties of the job

  • Administrative Support: Provides routine clerical and administrative support to ensure the smooth operation of the service.
  • Records and Documentation: Maintain accurate records, filing and data entry in line with NHS policies and procedures.
  • Communication: Responds promptly and professionally to internal and external enquiries, supporting effective communication within the team.
  • Confidentiality and Compliance: Handles sensitive information appropriately, adhering to confidentiality, data protection and NHS governance standards.
  • Team Contribution: Works collaboratively with colleagues and supports the wider team to achieve service objectives efficiently.

Job responsibilities

  • Responsible for managing calls, processing referrals, booking patient visits and keeping records and spreadsheets up to date.
  • Responsible for allocating clinician workloads to meet service demand and ensure timely patient care.
  • Accountable for coordinating with GPs, medical secretaries and staff to support seamless service.
  • Responsible for supporting the team by organising meetings, preparing agendas and completing any follow-up actions.
  • Maintaining accurate records, data quality and ensuring administrative processes comply with policies and standards.

Person Specification

  • Experience: Experience of providing clerical or administrative support. Experience of maintaining accurate records and handling information. Experience working in an administrative role within a healthcare, community or multidisciplinary team environment. Experience in handling patient referrals, appointments or service documentation accurately. Experience working in a healthcare or NHS environment. Experience supervising or coordinating administrative tasks, including managing workloads and schedules.
  • Skills & Knowledge: Ability to use standard office IT systems (e.g. Microsoft Office, email, databases). Understanding of confidentiality, data protection and basic NHS procedures. Ability to manage multiple tasks and prioritise work effectively. Strong organisational and time-management skills, with the ability to prioritise and manage competing tasks. Effective communication skills, both written and verbal. Liaising with staff, patients and external partners. Good IT skills, including experience with electronic patient record systems, spreadsheets and office software. Reliable, conscientious and attentive to detail. Professional, polite and able to communicate effectively with colleagues and patients. Flexible, willing to learn and supportive of team objectives.
  • Qualifications: Basic literacy and numeracy skills. Willingness to complete mandatory NHS training. Educated to GCSE level (or equivalent), including English and Mathematics. Level 3 qualification in Business Administration or equivalent. Evidence of continued professional development in administration or healthcare-related skills. Level 2 qualification in Business Administration or equivalent.
