The post holder will provide a comprehensive and efficient administrative service to the Cardiology Department, supporting Device Clinic services, Community Diagnostic Centre (CDC) pathways and general cardiology administration.

The role involves the coordination of patient bookings, management of waiting lists, and supporting patient pathways to ensure timely access to diagnostic and clinical services.

The post holder will deliver a high standard of customer care to patients, relatives and staff, ensuring all administrative processes are completed accurately and within agreed timescales.

Duties and responsibilities

  • 1 Administrative and Booking Duties
  • Manage and book appointments for Device Clinics and CDC activity using Trust systems (e. g. Alex Health, Solus, ) in line with Patient Access Policy
  • Cancel and reschedule appointments as required
  • Maintain and update waiting lists ensuring accuracy
  • Ensure all clinic outcomes are recorded following attendance
  • Undertake data quality checks on patient records and clinic activity
  • 2 CDC and Patient Pathway Coordination
  • Support coordination of CDC diagnostic pathways
  • Track patient pathways and elevate delays or issues
  • Ensure referrals are processed and added to systems
  • Support onboarding of new patients and obtain external clinical information
  • 3 Communication and Customer Service
  • Act as a point of contact for patients, GPs and external organisations
  • Answer calls, manage voicemails and email inboxes
  • Provide clear and professional communication
  • Send clinic letters and GP correspondence
  • 4 Clinical Administration Support
  • Transfer patient device data between hospitals
  • Liaise with external organisations for patient information
  • Support DNA and non-attendance processes
  • Ensure referrals and diagnostic requests are tracked
  • 5 General Administrative Duties
  • Scan and upload clinical documents
  • Sort and distribute post
  • Provide general administrative support
  • Support reporting and performance monitoring (including CDC activity)
  • 6 Service Support
  • Liaise with transport providers and clinical areas
  • Raise incidents and report faults
  • Support patients with home monitoring issues
  • Adapt to service changes and CDC developments
