Role Description

Reporting to the site QA Manager, this role has responsibility for day-to-day management and co-ordination of the shift based QA (LS only), Lab tech (WS only) and raw material teams. This role will provide support, guidance and technical expertise ensuring the site remains focused on all aspects of food safety and quality assurance, role modelling and encouraging a quality culture.

Role Description

As a Part Of The QA Function, This Role Will Work With The Site To Ensure Compliance With Food Safety Legislation, Achieve Highest Grade Possible In All External Audits, Increase Knowledge Of Food Safety And Quality And Also Improve Ways Of Working, Based On The Values Below:

Shift pattern

6am - 6pm / 4 on 4 off

Dimensions

  • Responsible for delivering the completion of internal audits to the set schedule.
  • Responsible for ensuring incubations, drain weights and seam checks are completed as per procedures.
  • Administer all the hold and rework notifications for the site.
  • Responsible for the collection of and / or ordering of samples for hold investigations.
  • Responsible for completing site microbiological testing programmes.
  • Responsible for ensuring raw material testing is completed in a timely manner to ensure raw materials are available for use in the factory as required.
  • Manage the collection and submission of samples for nutritional testing required to ensure we meeting customer COP’s.
  • Responsible for raising any necessary PO’s for the dept.
  • Responsible for the maintenance of the fill weight / net weight database.
  • Responsible for any finished goods release required from rework.
  • Responsible for authorizing first stage concessions and ensuring they are in place where there are deviations from standard processes in the factory.
  • Responsible for approving new labels and maintaining the label reference documents.
  • Responsible for ensuring all the QA SOP’s and task assessments are up-to-date and available.
  • Responsible for delivering any QC and QA related training required on site.
  • Management of the shift QA (LS only), lab tech (WS only) and RM Technicians, including EDR’s, Logitime, one to one’s, rotas, annualized hours. WS shift Co-ordinators to work with the operations teams to set objectives and contribute to the EDRs for the QA technicians

Key Relationships

  • Site: QA Manager, Shift Coordinators (all site departments), Process Improvement Coordinator, Food Safety Coordinator, Planning team, Manufacturing Managers and Coordinators, Engineering teams.
  • External to site: Quality Systems Manager, Specifications Manager, NPD, external testing labs.

Key Responsibilities

  • Internal Audits
  • Ensure delivery of internal audits to the defined schedule as required.
  • Support and organise team, record findings and report non-conformances.
  • Work with the other site teams to improve GMP and operating standards in line with site policies and procedures.

To maintain product Food Safety, Legality, Integrity, Authenticity and Quality standards by ensuring all associated policies and procedures are adhered to.

  • Food Safety
  • Incubations – all samples are incubated and assessed as required by customer COP’s. All results are recorded, deviations investigated and reported.
  • Three-day drain weights – all post-production drain weight samples are analysed, results recorded and deviations reported.
  • Seam Analysis – seam analysis is conducted on all operational production lines as defined by procedure. Results recorded, deviations reported, recommendations made. (LS)
  • Concessions are reviewed as raised and approved on shift to ensure all process deviations are agreed prior to operationally becoming active / inactive in the factory.
  • Suitable monitoring steps are put in place for process deviations and these are monitored for the duration of the change.
  • Isolations
  • Administer all holds in the SAP and warehouse systems to ensure all affected finished goods are blocked.
  • Raise all necessary rework notifications for isolated stock.
  • Release rework stock as required.
  • Ensure samples are collected on shift for isolated stock for further analysis.
  • Order samples from warehouses as required.
  • Microbiological Testing
  • Update and maintain the site water sampling programme.
  • Ensure all water samples are collected in line with the water sampling schedule for microbiological analysis.
  • Ensure all cooker cooling water samples are taken and analysed on a weekly basis.
  • Ensure all can swabs are taken for post process hygiene analysis on a weekly basis.
  • Nutritional testing
  • Responsible for the collection and sample submission of products for nutritional analysis. Schedule must meet customer COPs.
  • Purchase orders
  • Ability to raise purchase orders on SAP.
  • Work with all members of the QA team to raise any necessary purchase orders in consultation with the QA manager.
  • Raw Material / Packaging
  • Ensure raw materials are tested against the set procedures and their status is managed as determined by results.
  • All deviations against specification are reported and raw materials are held as necessary.
  • Raw materials are analysed and assessed in a timely manner to ensure availability as needed for production.
  • New labels are assessed and approved for use on site. All labels have a label reference document created and present prior to use in production.
  • Filled weight and net weight documentation
  • Input new and updated fill and net weights in the relevant database and sign recipes off.
  • Ensure that the stated filled weight is correct for the current processes employed.
  • Responsible for the issue and authorisation of any changes to operations.
  • Training
  • Ensure all QC and QA SOP’s are up-to-date and relevant.
  • Ensure all staff are trained against the SOP’s as required across site.
  • Ensure task assessments are available for all the SOP’s and task assessments are conducted as required to validate practical training.
  • Responsible for delivering QC and QA related training across site.
  • Team Management
  • Ensure all team members have annual EDR’s with objectives in line with the department and site strategies / Must Win Battle Plan. (WS in conjunction with Operations for QA techs)
  • Ensure all EDR’s include personal development plans and are reviewed at least 4 times per year.
  • Ensure all team members have regular one to ones to review their performance and provide coaching for their personal development.
  • Management of Logitime for shifts, clock ins, annualised hours and holidays.
  • Creation of rotas ensuring all key tasks are delivered and holiday cover is provided as needed.
  • Ensure all team members are sufficiently trained to deliver their roles and refresher training plans are in place.
