We are looking for a reliable, organised and proactive Office Administrator to join a busy team working for a business based just north of Shrewsbury. Due to continued growth, this new role is a varied administrative position supporting the day-to-day running of the office, with responsibilities across customer service, delivery administration, document management and some basic finance-related tasks.
The successful candidate will be someone who enjoys keeping things organised, has good attention to detail and is comfortable managing several different tasks throughout the day. You will work closely with customers, suppliers, hauliers and internal colleagues to ensure deliveries, documentation and administration are handled accurately and efficiently.
Key Responsibilities
- Assisting with order processing, ensuring all orders are accurate. Some orders may have some complexities due to internal cost codes and allocating revenues to the correct place within the group.
- Booking in and amending customer deliveries, ensuring information is accurate and up to date.
- Maintaining the pallet tracker and managing pallet movements, including booking pallets and placing orders.
- Scanning and saving Proof of Delivery (POD) documents within the company filing system.
- Downloading PODs from third-party haulier portals and matching them against invoices.
- Matching delivery notes with purchase invoices and identifying any discrepancies.
- Preparing and sending customer statements.
- Contacting customers regarding outstanding payments when required.
- Answering incoming telephone calls and assisting with customer and general enquiries.
- Maintaining accurate electronic and paper records.
- Filing, scanning and general document management.
- Providing general administrative support to the wider office team as required.
Skills and Experience
- Previous office or administration experience.
- Strong organisational skills and the ability to manage your own workload.
- Excellent attention to detail and accuracy.
- Confident computer skills and good working knowledge of Microsoft Office.
- Clear and professional communication skills.
- The ability to work independently while also contributing positively to a busy team.
- A practical, proactive approach and willingness to get involved across different areas of the business.
- Basic knowledge of accounting or bookkeeping would be advantageous but is not essential.
