Office Manager Shrewsbury Permanent £35,000 + bi-annual bonuses Monday–Friday, 9 am – 5.30 pm (potentially some flexibility on the working hours) Due to continued growth, our client is looking to recruit an Office Manager to join their business in a newly created position. This role has been created to bridge the gap between the Senior Management Team and the Engineering Teams. Whilst not actually managing any staff specifically, this is a key role designed to provide high-level coordination and organisational support to the Senior Management Team, helping them delegate day-to-day operational and administrative responsibilities as the business continues to expand. We are looking for someone who is naturally organised, process-driven and comfortable taking ownership of a varied workload. You’ll be the person who makes sure things happen; deadlines are followed up and processes run smoothly. Responsibilities and duties will include, but not limited to: * Provide senior-level administrative support to the Senior Management Team, taking ownership of delegated tasks and ensuring actions are followed through to completion. * Maintain the company Training Matrix, monitor expiry dates, arrange training courses, manage training accounts and certificates, and coordinate employee competency records and Personal Development Reviews. * Provide Health & Safety administrative support, including near-miss reporting, site safety audit bookings, action tracking and compliance documentation. * Maintain radiation-related compliance records and coordinate the servicing, calibration and certification of radiation monitors, gas monitors and other equipment. * Manage PPE stock levels, ordering and replacements, alongside tool and equipment logistics, including deliveries, collections, couriers and shipping documentation. * Coordinate vehicle administration, including vehicle check records, servicing and MOT bookings, and follow-up of outstanding checks. * Monitor timesheet submissions and Time Off in Lieu (TOIL) balances, chasing outstanding information and escalating issues to management where necessary. * Support the implementation and ongoing administration of SharePoint, maintaining organised records, document version control and current company policies and procedures. * Coordinate marketing and conference materials, promotional items, event logistics, staff social events and wider company activities. * Maintain accurate spreadsheets, reports, records and management information, ensuring business information is organised and readily accessible. * Coordinate processes, priorities and deadlines across the business, proactively following up outstanding actions and supporting management with ad-hoc projects and operational requirements. * Identify opportunities to improve administrative processes, internal systems and ways of working, helping to improve efficiency and ensure recurring tasks are completed on time. Skills and Experience We’re looking for someone who is: * Highly organised with excellent attention to detail * Confident working independently and taking ownership of responsibilities * Process-driven and methodical in their approach * Comfortable working closely with senior management * Proactive and able to anticipate what needs doing rather than waiting to be asked * Confident using systems and technology * An experienced Microsoft Excel user * Able to manage several priorities without losing attention to detail Strong Excel skills, including experience with PivotTables and manipulating data, would be a real advantage. The application process: Our mission is to support our clients in their creation of an equal, diverse and inclusive workforce.
