Role: Executive Assistant/Office Manager
Salary: £40,000 – £46,000 (DOE)
Location: Hybrid / London (3–4 days in office)
This role offers a 50/50 split between high-level Executive Assistant responsibilities and hands-on Office Management. You’ll support C-Suite leadership while also ensuring the smooth day-to-day running of the London office.
Key Responsibilities
Diary, Inbox & Workflow Ownership
- Full ownership of diary management (plan 3+ weeks ahead, adjust proactively).
- Manage inboxes with judgment and foresight (flag, filter, and action).
- Ensure executives are fully prepared for meetings (agendas/materials in advance).
- Own action/task lists and ensure delivery through tracking and follow-up.
- Lead regular check-ins with executives to align on priorities.
Travel, Expenses & Logistics
- Book travel, itineraries, and logistics end-to-end.
- Process expenses accurately and promptly.
- Coordinate team meetings, events, and external engagements.
Communication & Stakeholder Engagement
- Act as a gatekeeper and trusted extension of your executive.
- Maintain strong communication across the wider team.
- Spot issues early, escalate, and take initiative.
Confidentiality & Governance
- Handle sensitive information with professionalism.
- Ensure governance, meeting cadence, and task management are documented.
Documentation & Meetings
- Draft, proof, and format reports, presentations, and communications.
- Prepare agendas, briefing packs, and follow-up notes.
- Coordinate all aspects of meetings (attendee readiness, logistics).
Projects & Events
- Support ad-hoc projects and C-suite planning.
- Organise offsites, executive meetings, and team events.
Office Management
- Oversee smooth day-to-day office operations.
- Act as first point of contact for office-related issues.
- Liaise with facilities, IT, and vendors.
- Support visitor coordination and on-site logistics.
- Maintain a professional, organised, and welcoming office space.
- Champion culture through events, celebrations, and wellbeing initiatives.
We are looking for an Executive Assistant with proven experience supporting senior leadership, who is highly proactive, anticipatory, and solutions-oriented. You will bring excellent organisational and multitasking skills, with strong attention to detail and the ability to prioritise effectively in a fast-paced environment. Personable and collaborative, you will be confident in managing upwards and building strong relationships, while being comfortable working in the office at least three days a week.
