The role
The Business Development & Marketing Project Lead is responsible for planning, coordinating, and delivering cross-functional business development and marketing initiatives. Acting as a central interface between executive leadership and commercial, operational, and creative teams, the role brings structure, pace, and alignment to complex programmes. The Project Lead manages timelines, milestones, communications, and risks, ensuring stakeholders are informed, decisions are surfaced early, and workstreams remain coordinated and on track.
The role also supports the operational execution of business development and marketing activity, including proposal and pitch coordination, CRM and opportunity tracking, lead-generation support, campaign rollout, and event delivery. With a strong focus on process improvement, the Project Lead helps refine workflows, templates, and governance, embedding consistent ways of working across the function. This position is well suited to an organised, detail-oriented project manager with experience in fast-paced, professional or agency environments and the confidence to manage up and across senior stakeholders.
Responsibilities
- Project & Program Management
- Manage cross functional BD and marketing projects by developing and maintaining project plans, milestones, timelines, and status documentation, acting as the central point of contact for internal stakeholders and external partners.
- Provide structured updates to leaders, delivering tailored information and clear decisions.
- Facilitate alignment across the BD & Marketing team, helping to integrate workstreams and ensure consistent messaging and delivery.
- Facilitate smooth communication across internal and external stakeholders.
- Prepare and distribute agendas, meeting notes, follow-ups, and action items, ensuring all project documentation, briefs, and milestone deliverables are complete, accurate and accessible.
- Monitor progress against schedule/budget, escalating risks early and proposing solutions proactively.
- Business Development Operations & Delivery
- Planning, organizing and supporting the implementation of fixed regular business development meetings, and ensuring the distribution of actions.
- Coordinate the planning and preparation of proposals, credentials decks, and pitch materials.
- Support the development and execution of lead generation strategies, including identifying target segments, coordinating outreach activities, and ensuring all leads and interactions are captured and progressed within the CRM.
- Maintain up-to-date tracking of all new business opportunities, RFPs, tenders, and submissions, ensuring consistent data capture and workflow management within the CRM to support decision-making and reporting.
- Support the scheduling and coordination of BD-related client interactions, including client meetings, calls, follow-ups, and internal prep sessions, ensuring all participants have the necessary context, materials, and next steps.
- Manage the operational and logistics lifecycle for congresses, industry events, and sponsorship activities, including delegate registration, travel and accommodation, booth and collateral logistics, and coordination of marketing materials.
- Marketing Operations & Delivery
- Support the rollout of marketing campaigns and programs by coordinating asset creation, approvals, distribution, and reporting.
- Maintain marketing calendars for content, campaigns, events, and social media in collaboration with the Campaign Manager.
- Manage the operational and logistics lifecycle for congresses, industry events, and sponsorship activities, including delegate registration, travel and accommodation, booth and collateral logistics, and coordination of marketing materials.
- Maintain a centralized library of marketing collateral, tracking stock levels, version control, and readiness for internal and external use.
- Process & Continuous Improvement
- Contribute to the refinement of project workflows, templates, governance models, and communication practices.
- Proactively identify operational bottlenecks and inefficiencies and lead the development of actionable improvements to enhance team effectiveness and workflow performance.
- Maintain documentation libraries, frameworks and project materials.
- Support the ongoing optimisation and adoption of CRM and BD tracking processes, helping embed consistent ways of working across the team.
Any other tasks or projects as reasonably requested by the company.
4–6 years’ experience in project coordination or project management, ideally within marketing, BD, professional services, or a creative/agency environment. Strong organizational and time management skills with the ability to juggle multiple projects simultaneously. Proven ability to manage up, helping senior team members stay on track, make decisions and meet deadlines. Excellent communicator with the ability to simplify complex updates and build strong relationships across levels. Demonstrated experience creating and maintaining project plans, schedules, reports, and documentation. Solid working knowledge of CRM platforms and project management tools.
