ABOUT THE ROLE
The Bid Coordinator will play a critical role in supporting PTG companies’ growth within the security sector by managing the administrative, coordination, and compliance elements of the bid lifecycle.
A key focus of this role is Opportunity Management, where the successful candidate will be responsible for proactively identifying, tracking, and qualifying tender opportunities across private and public sector security markets.
The Bid Coordinator will ensure the bid team is equipped with accurate information, compliant documentation, and well‑organised processes that contribute directly to successful contract wins.
This is an ideal role for someone who is organised, curious, and has the ability to multi‑task priorities within a fast‑paced commercial environment.
ABOUT YOU
The successful candidate will have experience in maintaining accurate records with strong attention to detail, in addition to excellent time‑management skills.
KEY RESPONSIBILITIES
- Opportunity Management
- Proactively monitor tender portals (e. g., Public Contracts Scotland, Sell2Wales, e Tenders, Proactis, Delta etc), security‑sector frameworks, and commercial procurement platforms.
- Review industry publications, regulatory updates, and security market intelligence to identify upcoming opportunities.
- Maintain and manage an Opportunity Pipeline Tracker, ensuring opportunities are logged, categorised, and shared promptly with the Bid Manager and senior stakeholders.
- Conduct initial opportunity qualification checks against defined criteria for each group company (scope, value, location, accreditation requirements, TUPE implications, mobilisation expectations).
- Support the Senior Bid Manager and the business development team by preparing opportunity summaries and highlighting key risks or requirements, as part of the Bid/No Bid gateway process.
- Bid Coordination
- Assist the Senior Bid Manager in coordinating the full bid lifecycle for security contracts, including security technology systems & temporary CCTV solutions, guarding, mobile patrols, CCTV monitoring, keyholding, and integrated security solutions.
- Organise bid kick‑off meetings, solution development sessions, and review gates.
- Track deadlines, clarifications, addenda, and submission requirements to ensure full compliance.
- Document Management & Compliance
- Format, proofread, and compile bid documents, ensuring accuracy, consistency, and alignment with security industry standards.
- Manage version control and ensure all documents meet branding, quality, and compliance requirements.
- Upload and download tender documents from procurement portals.
- Support the collation of mandatory compliance documentation (SIA ACS scores, ISO certifications, insurance, policies, vetting standards, training records, mobilisation plans).
- Bid Library & Knowledge Management
- Maintain and update the bid library with security‑specific content, including:
- SIA ACS documentation
- BS 7858 vetting processes
- BS 7499, BS 7984, BS 7958, BS 10800 compliance statements
- Work with operational managers and SMEs to gather technical content and ensure accuracy.
- Administrative & Team Support
- Maintain bid calendars, trackers, and internal communication channels.
- Prepare templates, presentations, and supporting materials for bid submissions and client presentations.
- Assist with post‑submission activities including archiving, feedback capture, and lessons‑learned sessions.
ESSENTIAL REQUIREMENTS
- Experience in sourcing, identifying and qualifying public and private sector bid and tender opportunities, with the ability to evaluate opportunities against strategic objectives and support effective bid/no‑bid decision‑making.
- Ability to assess tender opportunities against business capabilities and strategic objectives, making informed bid/no‑bid recommendations.
- Excellent organisational skills with the ability to manage multiple opportunities, monitor deadlines and maintain accurate bid tracking records.
- Strong communication and stakeholder management skills, with the ability to work collaboratively across business functions to support successful bid submissions.
- Excellent written English, grammar, and attention to detail.
- Proficiency in Microsoft Office (Word, Power Point, Excel).
DESIRABLE REQUIREMENTS
- Knowledge and experience within the security, facilities management, construction or other service‑based sectors.
- Experience in bids, proposals, sales support, or opportunity management would be advantageous.
- Understanding of SIA ACS, ISO 9001, ISO 14001, ISO 45001, and BS standards relevant to security services.
- Experience maintaining a bid library, case studies and supporting documentation.
- Experience using In Design or similar design software.
- GCSEs / Highers or equivalent; further education qualifications desirable.
