Employment Type: Full-time 40 hrs per week 8am to 4pm Monday to Friday

Role Overview

We are seeking a highly organised and proactive Office Assistant to support our HR, Payroll, and Finance teams. This role requires exceptional attention to detail, strong communication skills, and the ability to work efficiently in a fast‑paced environment. Advanced Excel skills are essential, as the role involves regular data handling, tracking, and reporting.

Key Responsibilities

  • HR Administration Support
    • Responsible for onboarding all new starters via our automated system ensuring they are set up correctly including DBS application, documents, and induction materials.
    • Track annual leave, sickness, and other employee absence data using Excel.
    • Process incoming self-certificates and fit notes.
    • Support with note taking for investigations, disciplinary meetings and welfare calls.
  • Payroll Support
    • Collect, verify, and input payroll data including timesheets, overtime, starters/leavers, and expenses.
    • Use Excel to reconcile hours, calculate adjustments, and prepare payroll reports.
    • Respond to routine payroll queries from employees.
    • Ensure payroll deadlines and compliance requirements are met.
  • Finance Administration Support
    • Process sales invoices for specialist works.
    • Process supplier reports checking details, coding and reporting monthly, adding to invoicing.
    • Weekly check supplier invoices waiting for approval.
    • Support with purchase order reconciliation and chasing.
    • Use Excel for data entry, reporting, and basic analysis.
  • General Office Administration
    • Manage shared inboxes and respond to general enquiries.
    • Long service awards, newsletters and social value, company social events.
    • Schedule meetings, prepare documents, and minute meetings when required.
    • Maintain office supplies and support day‑to‑day operational needs.
    • Provide wider administrative support across the business.

Skills & Experience

  • Proven experience in an administrative role (HR, payroll, or finance support is advantageous).
  • Strong Excel skills essential, including filters and formulas, basic reporting.
  • Excellent organisational and time-management skills.
  • High accuracy and strong attention to detail.
  • Ability to handle sensitive information confidentially.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
