Main duties of the job

The purpose of the role is two-fold, to ensure that information is available to effectively manage our services and that our systems are configured and administered to support general day to day management and to continue the growth of the company. In order to match our ambition with our ability to adequately research, scope, plan and deliver future business growth we require an experienced SystmOne business analyst who can take ownership and administration of primarily our SystmOne data and system.

Working closely with our senior leaders, you will provide a commercially focused approach to data management, configuration and extraction across all of PCSs business areas, from service viability and design, through helping us win new business, to enabling us to monitor contractual and financial performance when we do.

The impact of the role is immediate in terms of ensuring effective commercial challenge, planning, delivery and reporting of services critical to patient care, commercial success and organisational health. The Business Intelligence SystmOne Analyst will play a key role in configuring, extracting, analysing, and presenting data from the SystmOne platform to drive informed decision-making and performance management. The role will involve ensuring the effective integration of clinical, operational, and financial data within SystmOne, creating reports and dashboards, and supporting stakeholders with actionable insights to optimize healthcare outcomes.

Job responsibilities

Key Duties And Responsibilities SystemOne Management

  • Extract, transform, and load – ETL data from SystmOne into BI systems for reporting and analysis.
  • Ensure data accuracy, consistency, and integrity by validating system inputs and outputs.
  • Act as the subject matter expert for SystmOne, analysing, investigating, and resolving highly complex and novel problems, ensuring clear communication with all stakeholders.
  • Design and implement data extraction methods from SystmOne, ensuring that it meets internal data governance and compliance standards.
  • Work alongside clinical colleagues and operational services, setting up new services and associated workflows. Actively engage with clinicians to ensure the system supports best clinical practice.
  • Support the roll out and functionality of any other systems linked to SystmOne such as AirMD, Ardens, Brigid or other applications, if and when PCS chooses to implement them.
  • Liaise closely with SYICB BBIT to negotiate priorities for projects relating to SystmOne, to raise requests for work as appropriate and to develop appropriate training packages and materials.
  • Provide 2nd line IT SystmOne support including break/fix recommendations.
  • Configure SystmOne units as per service requirements following triage and analysis and agreement following change control process.
  • Implement new functionalities as required and provide training, training materials and demonstrations as required.
  • Create and amend patient documentation e.g. Data Entry Templates, Protocols, Questionnaires in conjunction with service requirements and the performance analyst. Ensure all SystmOne change requests are logged and tracked.
  • Support all staff in the safe and effective use of SystmOne.
  • Use problem-solving abilities to triage a broad range of queries from internal and external organisations.
  • Provide risk assessment advice and guidance on the use of SystmOne.
  • Keep the organisation updated with new SystmOne functionalities and abilities.

Reporting & Analysis

  • Work closely with the Business Intelligence Performance Analyst to develop dashboards and reports using BI tools e.g. Power BI, Tableau for key metrics derived from SystmOne data.
  • Create and distribute ad-hoc and regular reports to senior management, operational teams, and clinical departments to monitor healthcare performance indicators – KPIs.
  • Analyse healthcare data – clinical, operational, and financial to identify trends, inefficiencies, and opportunities for improvement.
  • Work with teams to create ad hoc reports as needed.

Business Intelligence Optimisation

  • Collaborate with cross-functional teams (clinical, operations, corporate) to understand business needs and ensure the effective utilisation of SystmOne for data analysis and reporting.
  • Work closely with the Performance Analyst to create and build automated reports using SystmOne and BI tools and improve the efficiency of the reporting process.
  • Regularly review and recommend improvements to BI reports and tools used in conjunction with SystmOne to better serve healthcare goals.
  • Provide strategic and operational advice and guidance on the use of SystmOne to achieve organisational outcomes.
  • Work collaboratively with services to understand business requirements, review process maps and Standard Operating Procedures, SOPs ensuring that they are current and optimised for effectiveness and provide business change management advice and support.
  • Lead service improvement work in the area of SystmOne, including producing current state and future state process maps.
  • Provide solutions, advice and guidance on how future states can be achieved.
  • Provide project management support to specific workstreams as required.
  • Create, assist and edit business cases, options appraisals and other required business intelligence documents as required.
  • Work with and support senior management teams to align business strategies with SystmOne system capabilities.
  • Develop and implement change control procedures and associated governance requirements.
  • Develop and support the use of knowledge articles across the organisation.

Collaboration & Stakeholder Engagement

  • Partner with healthcare professionals, clinical staff, and operational teams to define reporting requirements and deliver actionable insights based on data from SystmOne.
  • Provide information and guidance support to staff in understanding and utilising BI tools and SystmOne effectively.
  • Operate in a flexible and demanding environment with the ability to adjust working pace and pressure to meet deadlines and expectations.
  • Support and represent the organisation at a wide range of internal and external meetings and establish effective working relationships with staff from varying roles internal and external to the organisation.

Compliance & Data Security

  • Ensure compliance with healthcare regulations – e.g., HIPAA, GDPR – in handling patient data and system access.
  • Support the security of healthcare data within the BI environment, ensuring all data extracted from SystmOne adheres to security protocols.

Experience Essential

  • Substantial knowledge and experience of industry standard methodologies and tools, including data platforms, development methodologies and practices, reporting and project management.
  • Extensive experience of designing SystmOne reports, clinical templates, questionnaires and protocols.
  • Experience of working with clinicians, managers and business intelligence leads in mapping clinical and operational practice within EPR systems.
  • Extensive experience of designing clinical systems to meet stakeholder requirements.
  • Experience of developing training materials and delivering training on SystmOne.
  • Ability to communicate the business implications and underlying requirements of analytical solutions, methodologies and technologies to internal stakeholders, and advise and assist them to reach decisions.
  • Ability to communicate effectively with clinical and generalist stakeholders, from directors and senior managers to administrators to develop and deliver analytical insight.

Desirable

  • Knowledge of informatics in the NHS or private healthcare / social care delivery.
  • Experience of working in primary care services.
  • Experience of developing visualisations in SystmOne.

  • Educated to degree-level or equivalent with relevant professional certification.
