Operational leadership and management responsibility, including overall rota management (supported by Team Leads) for all staff working in the dispensaries of Brampton Medical Practice ensuring safe working practices, adherence to contractual requirements and standards, staff competence and service development of our busy dispensary.
Main duties of the job
- Ensure that practice drug and appliance purchasing decisions are implemented in line with patient need, NHS guidelines and practice efficiency.
- To ensure that all due prescription charges are collected and that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient in accordance with current legislation.
- Management of the monthly endorsement, preparation and submission of prescriptions and other submissions monthly to the Prescription Pricing Authority. Dealing as necessary with any returned prescriptions.
- Monitoring of all Dispensing income payments, analysing trend and identifying issues to be resolved by process change or staff training.
- Ensure all claims for drugs are cost effective & submitted.
Leadership & Service Development
- To provide service leadership and management responsibility for staff working in the dispensaries.
- To provide the Practice Business Manager and Partners with details of output, performance and activity at specified time intervals in an agreed format. Implement strategies within the team to support a culture of continuous improvement.
- To support the development and implementation of a strategy for improving the skill mix of staff working within the dispensary.
- Ensure that all staff are appropriately trained and that easily accessible records of their competency are available in line with the requirements of the Dispensary Services Quality Scheme (DSQS).
- Ensure that standard operating procedures within the dispensaries are developed, implemented and reviewed as necessary and are consistent across both sites.
- To be responsible for monitoring and investigating clinical incidents that occur within each dispensary, implementing procedural changes where necessary to address any issues raised.
- Ensure that all near miss errors are logged, reported and monitored for trend and team and individual training requirements.
- Managing medicine safety alerts and ensuring they are reviewed and acted on by clinicians.
- Monitoring the use of certain medicines (for example, strong pain medicines) and working with clinicians to improve safety.
- To co-ordinate monitoring and investigation of complaints that relate to the dispensaries, implementing procedural changes where necessary to address any issues raised.
- To monitor performance and co-ordinate audits against local and national key performance indicators to ensure that standards/ qualities are constantly reviewed and actions taken to achieve improvements in a timely manner.
- To identify key areas of risks and ensure that appropriate actions are undertaken to mitigate them. This includes the escalation of risks that cannot be managed/ mitigated following local procedures.
- Responsible for the completion of Dispensary Services Quality Scheme (DSQS) annual self-declaration to demonstrate compliance with quality standards.
- Attend relevant meetings both locally and regionally face to face and online as required.
Staff Management & Training
- To be the overall line manager for staff within the dispensaries and ensure the training and development of such staff taking responsibility for the following, according to Practice procedures:
- Appraisals and objective setting.
- Sickness absence.
- Disciplinary and grievance matters.
- Recruitment and selection.
- Departmental workload allocations.
Destruction of Drugs
- To manage and ensure the appropriate implementation of the practice policy in relation to dealing with uncollected and returned medication, including controlled drugs from patients, ensuring regular destruction in line with practice/CCG policy.
Person Specification
- Experience of managing in a commercial environment including financial budgeting and monitoring.
- Excellent people management skills including performance management.
- Microsoft Office user, including Outlook, Word, Excel and PowerPoint.
- Performance and results driven with desire to ensure quality and excellent customer satisfaction.
- Excellent Communication skills, both oral and written.
- Ability to organise and manage own time.
- Excellent creative problem-solving skills.
- Strong organisational and planning skills.
- Experience of working in Primary Care/General Practice.
- Experience of working in a practice dispensary/dispensary/medicines management role.
Qualifications
- Previous management experience and experience of leading a team, together with a track record of delivering services.
- OR Experienced Pharmacist with commercial experience.
- OR Experienced Pharmacist looking to take the step into management.
- Good standard of education including Maths & English at Grade C/4 or above or equivalent.
Additional Criteria
- Driving licence and business insured vehicle with ability and willingness to travel between branch sites as required.
- Personal flexibility to ensure operational requirements are met including Saturday mornings on a rota basis.
