We are seeking a motivated and adaptable Receptionist/Patient Advisor to join our busy and friendly team.

This is a front of house first point of contact patient facing role.

The ideal candidate will have excellent customer service and communication skills, with the ability to remain calm and work efficiently under pressure. Previous experience working with the public in a customer service environment is essential.

Hours of Work: Minimum shift requirements 15 hours per week up to 37.5 hours per week.

Main duties of the job

Assist with general basic administration tasks to support the smooth running of the practice.

Ensure patients receive a professional, welcoming, and efficient service at all times. Handle general enquiries, explain procedures, and schedule new or follow-up appointments.

Open up/lockup practice premises as required on a rota basis.

Process online appointment requests via the practice digital system.

Job responsibilities

Reception Duties

Provide an efficient, professional and welcoming reception service for patients and other visitors to the Practice.

Open up/lockup practice premises as required on a rota basis.

Handle general enquiries, explain procedures, and schedule new or follow-up appointments.

Process online appointment requests via the practice digital system.

Use judgment and communication skills to manage patients without prior appointments who require urgent consultation, ensuring minimal disruption.

Explain Practice arrangements and formal requirements to new patients or those seeking temporary cover, ensuring all necessary procedures are completed.

Hand completed letters, or forms to patients, checking ID to maintain confidentiality in line with GDPR and Practice guidance.

Be capable of covering all reception tasks as needed.

Improve patient access to primary care and help reduce pressure on GPs and the wider team.

Provide clear, accurate information about the full range of services available both inside and outside the Practice, enabling patients to make informed choices.

Act as a face to face first point of contact for patients, directing them to the most appropriate source of help at the right time, in the right place, and with the right person.

Computer and Administrative Tasks

Use the Practice computer system to book, cancel, or amend appointments, check patient information, and update patient records as necessary.

Act on tasks assigned to the reception team promptly.

Additional Duties

This job description is not exhaustive. The post holder must be willing to negotiate variations in responsibilities to respond to changes within the Practice and the Primary Care Network priorities.

Qualifications

  • Good standard of general education GCSE including English Grade 4 or equivalent
  • NVQ Customer care

Experience

  • Reception or direct face to face customer service experience
  • Experience in a healthcare setting
  • Experience in a GP reception role
  • Previous experience of handling confidential records

Skills and Knowledge

  • Ability to use own judgement and common sense
  • Up to date working knowledge of windows, Outlook, Excel and databases
  • Familiarity with EMIS software
  • Understanding of medical terminology

Other Requirements

  • Ability to work without direct supervision
  • Ability to work well in a team
  • Ability to work well and remain calm under pressure
