Little St Johns Surgery are looking for an organised and proactive Clinical Administrator to join our friendly GP practice in the heart of Woodbridge. This is a varied role supporting our clinical team with referrals, patient records, correspondence and general administration, helping to deliver high-quality patient care.

This position is offered on a part-time basis, working the following hours/days: Monday to Friday, 9.30am–2.30pm, with flexibility required to provide additional cover when required.

Duties will include;
  • Process referrals and clinical correspondence.
  • Manage patient registrations and medical records.
  • Support GPs with clinical administration.
  • Liaise with hospitals and other healthcare providers.
  • Maintain accurate records using SystmOne.
  • Provide general administrative and reception support as needed.
  • Support patients with general enquiries and assist them in accessing practice services.
  • Monitor clinical tasks, emails, and notifications, ensuring timely action.
  • Provide administrative support for meetings, invoicing, medical reports, and general practice operations.
  • Maintain compliance with practice policies, NHS procedures, confidentiality, and data protection requirements.
  • Provide reception and administrative cover when required.
  • Contribute to a positive, professional, and patient-focused environment.

About the Candidate

To be considered for this position, you will require the following qualifications, experience and skills;

Essential:
  • Good standard of general education (GCSEs or equivalent, including English and Mathematics).
  • Competent IT skills, including Microsoft Office applications.
  • Excellent organisational, communication and IT skills.
  • Strong attention to detail and the ability to prioritise your workload.
  • A professional, patient-focused approach.
  • Previous NHS or healthcare administration experience is desirable but not essential.
  • Experience of handling confidential and sensitive information.
  • Experience managing referrals, patient records, or clinical correspondence.
  • Knowledge of NHS administrative processes and patient confidentiality requirements.
  • Experience using clinical systems such as SystmOne (or the ability to learn quickly).
  • Excellent written and verbal communication skills.
  • Strong organisational and time management skills.
  • High level of accuracy and attention to detail.
  • Ability to prioritise workload and meet deadlines.
  • Confident using IT systems and databases.
  • Excellent customer service and interpersonal skills.
  • Ability to work independently and as part of a multidisciplinary team.

  • Knowledge of NHS referral pathways and clinical administration processes.
  • Minute-taking experience.
  • Understanding of Information Governance and GDPR within an NHS setting.
