Guildhall Clare Surgery have an exciting opportunity for a Receptionist/Administrator to join our friendly and supportive practice team working 15 hours per week. The working pattern is as follows:
  • Monday: 8.30am - 2pm
  • Wednesday: 8.30am – 1pm
  • Friday: 1.30pm – 6.30pm
Responsibilities will include;
  • Greet patients and visitors to the practice, respond and/or redirect accordingly.
  • Book in, amend and cancel patient appointment in line with practice appointments procedures ensuing optimum efficiency of the appointment system.
  • Ensure that patients without appointments but who need 'urgent consultations’ are booked into appropriate slots and referred to a GP where necessary.
  • Receive and accurately record requests for home visits, assessing urgency in accordance with the Practice’s protocols. Print off home visit summary sheets.
  • Ensure computerised appointment system is up to date.
  • Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.
  • Set-up of new patients onto the computer system.
  • Advise patients of relevant charges for private services, accept payment and issue receipts for same.
  • Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions – when required
  • Ensure correspondence, reports, results etc. are filed electronically in correct patient record.
  • Ensure reception and waiting areas are kept neat and tidy
  • Re-stocking of information leaflets/ registration and information packs, as appropriate
  • Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
  • Undertake administration tasks as allocated on rota organised by line manager.
  • Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
  • Check emails on a daily basis.
  • Regularly check and action messages on clinical system
  • Amalgamation of new patient records.
  • Check fridge daily for lab specimens for courier collection
  • Send urgent referral forms to hospitals etc. when required
  • Ensure all items from Dr fridges are removed each evening
  • Action daily tasks from the reception duty check list

About the Candidate

We are looking for a reliable, organised and patient-focused individual who can provide an efficient and professional service to our patients while supporting the wider practice team. You will also be:

  • Organised, self-motivated and adaptable, with excellent attention to detail and the ability to manage competing priorities.
  • Strong communication skills and be confident working both independently and as part of a multidisciplinary team.
  • Previous experience within a GP practice, primary care or healthcare environment is desirable, as is experience with clinical systems and Microsoft Office.
  • Friendly, professional, reliable and committed to providing an excellent service to patients.

About Us

The practice has approximately 5,300 patients and is rated 'Good' by the Care Quality Commission, with consistently positive GP patient survey results. It is led by 2 GP partners. The rest of the clinical team includes an advanced nurse practitioner, practice nurse, assistant practitioner, HCA plus a physiotherapist and clinical pharmacist and technician, mental health practitioner and social prescribers.

Clare is a small market town close to Sudbury and the borders of both Essex and Cambridgeshire. Our patients are served by both West Suffolk and Addenbrooke's Hospital.
