Ongar Healthcare Centre is looking for an administrator/clinical coder, on a part-time basis for 22 hours per week, working Monday, Wednesday, and Friday, with exact hours to be discussed at interview. Main duties of the job:

  • Work methodically and accurately with the ability to self-motivate, organise and prioritise own workload.
  • Summarise and read code relevant information from patients' clinical records into the practice computer system, working strictly in accordance with the practice notes summarising protocol.
  • Process and manage all incoming correspondence including letters and electronic documents.
  • Sort the letters in preparation for scanning and workflow.
  • Differentiating between clinical documents that will need to be seen by a GP and those that can be scanned straight onto the patients' record and sort into batches for scanning.
  • Pass all non-patient related letters to the relevant department.
  • Ensure all incoming correspondence about patients from hospitals is scanned, coded and attached to the correct medical record.
  • Monitor all incoming admin emails from patients, hospitals and other third-party organisations.
  • Process requests for information i.e. SARs, insurance/solicitors letters and DVLA forms.
  • Deal with telephone enquiries from patients and insurance companies with discretion and confidentiality.
  • Liaise with various companies and health authorities regarding queries and financial matters.
  • Liaise with management regarding fees.
  • Contribute to keeping patient information up to date.
  • Adhere to strict guidelines for General Data Protection Regulations (GDPR).
  • Process all other private work forms that require input from a GP.
  • Take payments from patients and third parties for all private work.

About us:

We are a large, busy training practice, serving a patient population of 12,000 and operating from purpose-built premises. We use SystmOne clinical system and are rated Good with CQC. Person Specification:

The successful candidate must be able to undertake a range of administrative duties to support the multidisciplinary team, be able to work as part of a team, and have the ability to organise and prioritise their own workload on a day-to-day basis. Experience of a clinical system is preferred but not essential. We are looking for the following skills:

  • Excellent communication and interpersonal skills.
  • Ability to work under pressure in a fast-paced environment.
  • A clear and polite telephone manner.
  • Respectful of patient confidentiality.
  • Ability to work well as part of a team and autonomously.
  • Understanding of SystmOne preferred but not essential.
  • Previous experience of clinical coding preferred but not essential.
