We're looking for a Commercial Coordinator to play a key role in supporting our growing Commercial Development team and ensuring the smooth delivery of day-to-day commercial operations. Reporting to the Head of Commercial Development, you will provide essential administrative and operational support across the full commercial lifecycle, helping the team manage complex government procurement opportunities, business development activities, bids and proposals, client relationships, contracts, and internal coordination.

As part of a fast-growing team, you will work alongside experienced commercial professionals, supporting both large-scale public sector procurement programmes and strategic business development initiatives. Your contribution will help ensure commercial activities are delivered efficiently, deadlines are met, and high-quality outputs are produced for customers across the Intelligence, Security and Defence sector.

Key Responsibilities

  • Produce, format and quality-check professional documents, presentations and reports for internal and external stakeholders.
  • Maintain organised filing systems across SharePoint and other document management platforms, ensuring information is accurate, secure and easily accessible.
  • Develop into a commercial development role, gaining experience across sales, business development, and proposal management.
  • Administer the bid calendar, coordinating submission deadlines, internal reviews, Teams meetings and stakeholder inputs to ensure timely and compliant bid delivery.
  • Perform regular Salesforce data audits to ensure CRM data accuracy, consistency and integrity, supporting reliable reporting, pipeline management and business development activities.
  • Develop, maintain and improve proposal templates, ensuring consistency, quality and alignment with company branding and bid best practice.
  • Manage shared inboxes, triaging enquiries and coordinating responses across Finance, HR and operational teams.
  • Support contract administration by receiving, categorising and maintaining supplier, partner and client agreements within contract management and CRM systems.
  • Prepare, issue, monitor and securely file Non-Disclosure Agreements (NDAs) and other commercial documentation.
  • Coordinate diaries, meetings and travel arrangements for senior members of the Commercial Development and Senior Leadership team.
  • Draft and coordinate internal communications, including weekly company updates and other business-wide announcements.
  • Manage supplier and compliance portals, ensuring organisational information and documentation remains current.
  • Conduct ad hoc research into markets, competitors, customers and industry developments to support commercial activities.
  • Work closely with Marketing and other internal teams to support events, campaigns, business development initiatives and client-facing content.
  • Act as a central point of coordination across teams, proactively identifying priorities, resolving administrative issues and ensuring work progresses efficiently.

About You

We're looking for someone who is highly organised, proactive and intellectually curious, with exceptional attention to detail and a genuine ambition to build a career in commercial operations and business development. An interest in, or experience within, the intelligence, security or defence sectors would be advantageous.

Key Skills & Experience

  • A keen interest in the security and defence sector and an understanding of its evolving landscape.
  • At least one year's experience in commercial operations, sales operations, business support or a similar commercial environment.
  • A strong motivation to develop a career in sales, commercial operations or business development, with a proactive approach to learning and continuous professional development.
  • Excellent written and verbal communication skills, with the confidence to build effective working relationships at all levels of the organisation.
  • Strong organisational and time management skills, with the ability to manage multiple priorities and meet competing deadlines.
  • Well-developed analytical and problem-solving abilities, with a continuous improvement mindset.
  • Strong document preparation and formatting skills, including the production of high-quality bid submissions, presentations and internal documentation.
  • Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
  • Experience using SharePoint, CRM systems or other document management platforms would be an advantage.
  • Exceptional attention to detail, with the ability to handle confidential and commercially sensitive information with discretion.
  • A collaborative, adaptable approach, demonstrating initiative, accountability and a willingness to support colleagues across the business.
  • Confidence using AI tools and modern business applications to improve productivity, streamline administrative tasks and enhance ways of working.
