As part of Pret's property team, the Project Coordinator & Property Administrator will support construction, acquisitions, and estates teams to ensure projects are completed on time, within scope and within budget.
Key Responsibilities
- Support the Construction team with project‑related administration.
- Raise, issue, and receipting purchase orders, and manage cost reporting process including project specific reports and budgetary trackers.
- Raise and track all Opex and Capex requests.
- Gain a full understanding of Pret's NetSuite system and collaborate with Finance to champion any changes.
- Adhere to Pret's financial processes.
- Ensure invoices can be processed by solving errors such as incorrect PO numbers, closed POs or fully billed POs.
- Work closely with finance on ad‑hoc requests such as capital allowances, closing POs and project information.
- Support the weekly payment run, ensuring paid invoices are due and answer contractor queries regarding payment dates.
- Track costs against individual budgets and notify Heads of Department of any potential overspend.
- Complete and collate all project specific administration and file in the appropriate internal drives.
- Liaise with shop teams on small‑scale refurbishment, furniture and equipment projects.
- Gather information for onboarding new suppliers/contractors and raise new supplier tickets.
- Manage CIS registration of suppliers and ensure correct PO deductions.
- Participate in ad‑hoc projects within the wider team and business.
Experience and Skills Required
- Excellent organisational skills and multitasking abilities.
- Strong verbal and written communication skills.
- Confidence using Excel, PowerPoint and Word.
- Confidence in problem‑solving and a ‘can‑do’ attitude.
- Proactive with an ability to work with minimal supervision.
- Ability to work to tight deadlines.
