Job Description: Prestige Skills are currently seeking an organised, detail oriented and proactive Admin and Bid Writing Assistant to join our dynamic team. This role will provide administrative and bid writing support across the business, helping to ensure the smooth running of day to day operations while assisting with the preparation, research and submission of tenders, funding applications and other business opportunities. The successful candidate will have excellent written and verbal communication skills, strong attention to detail and the ability to manage multiple deadlines. You will be required to work closely with management and other members of the team, gathering information and producing professional, accurate and well presented documentation. Key Responsibilities: Provide general administrative support to the business and management team. Assist with the preparation, completion and submission of tenders, bids, funding applications and other business opportunities. Research potential tender, funding and contract opportunities that may be suitable for the business. Assist with writing clear, professional and engaging bid responses, reports, supporting statements and other business documentation. Gather information from internal departments and ensure bid submissions contain accurate and relevant information. Maintain bid and tender databases, ensuring deadlines, requirements and submission information are accurately recorded and monitored. Monitor upcoming tender and bid deadlines and ensure submissions are prepared and completed within the required timescales. Assist with the preparation of company information, policies, procedures, case studies, testimonials and supporting documentation for tenders and bids. Maintain accurate records, databases and filing systems, ensuring information is kept up to date. Assist with basic financial administration, including maintaining financial records, gathering pricing information and supporting the preparation of financial information for bids. Carry out data entry and ensure documentation and correspondence are accurate and professionally presented. Communicate with internal staff, clients, suppliers and external organisations by telephone and email in a professional manner. Assist with research into potential clients, contracts, funding opportunities and market opportunities. Ensure confidential and commercially sensitive information is handled appropriately and in accordance with data protection requirements. Use Microsoft Office applications, particularly Word, Excel and Outlook, to complete day-to-day tasks and produce professional documentation. Support the management team with general administration and ad-hoc projects as required. Work collaboratively with colleagues while also being able to manage your own workload and work independently. Contribute to the continued improvement of administrative and bid processes within the business. Requirements: Previous experience in an administrative, office-based or similar role, with at least 1 year preferred. Previous experience of bid writing, tender submissions, grant applications or similar would be highly advantageous. Excellent written and verbal communication skills, with the ability to produce clear, professional and well-structured documents. Strong attention to detail and a high level of accuracy when completing documentation and data entry. Excellent organisational skills with the ability to prioritise workloads and manage multiple deadlines effectively. Confident using Microsoft Office, particularly Word, Excel and Outlook. Good understanding of office administration and organisational processes. Basic understanding of financial records and accounting principles. Ability to research information independently and identify relevant opportunities. Understanding of confidentiality and data protection requirements. Ability to work unsupervised and manage your own workload to tight deadlines. Strong interpersonal skills with the ability to communicate effectively with colleagues, clients, suppliers and other external stakeholders. A proactive approach to problem-solving, with the ability to use initiative and identify what needs to be done. Ability to work independently and as part of a team. No remote working option is available; the candidate must be able to work on-site. Desirable: Previous experience in bid writing or tender administration. Experience working with public sector, utilities, construction, housing or similar organisations. Experience researching tender and contract opportunities. Experience preparing supporting documents for PQQs, ITTs, RFQs or similar procurement processes. Experience using CRM, document management or tender management systems. GCSE Grade C/4 or above in English and Maths or equivalent. What Difference Will You Make? This role will play an important part in supporting the continued growth and development of Prestige Skills.
