Senior Property Administrator -Commercial Property

Seeking an experienced and technically skilled Senior Property Administrator to join a growing Property team.

This is an exciting opportunity for a property professional with extensive commercial property experience to manage a portfolio of complex SIPP and SSAS property arrangements while acting as a senior technical resource within the team.

The successful candidate will be responsible for overseeing commercial property transactions, ensuring regulatory compliance, supporting governance activities, and providing mentoring and technical guidance to colleagues.

This role offers significant variety and the opportunity to work closely with members, advisers, trustees, and professional third parties.

Key Responsibilities

  • Administer a portfolio of SIPP and SSAS commercial properties, including complex and high-value arrangements.
  • Act as the primary point of contact for members, advisers, trustees, and professional third parties.
  • Maintain accurate scheme records in line with HMRC requirements and internal standards.
  • Deliver a high level of client service while managing multiple priorities effectively.
  • Commercial Property Transactions
  • Manage commercial property purchases, sales, transfers, and related transactions from inception to completion.
  • Liaise with solicitors, lenders, valuers, surveyors, and managing agents throughout the transaction process.
  • Portfolio Management
  • Review and assess contracts, leases, rent schedules, valuations, and property reports.
  • Monitor rent collection, VAT registrations, and option-to-tax arrangements.
  • Ensure connected-party transactions comply with market value and regulatory requirements.
  • SSAS Loan backs & Complex Investments
  • Administer and monitor SSAS loan back arrangements in accordance with HMRC legislation.
  • Maintain compliant security documentation and repayment schedules.
  • Process and oversee non-standard investments where applicable.
  • Regulatory & Technical Oversight
  • Ensure compliance with HMRC pension legislation and SIPP/SSAS regulations.
  • Monitor scheme funding positions, annual returns, and reporting obligations.
  • Maintain robust audit trails and documentation standards.
  • Support internal audits, compliance reviews, and regulatory investigations.
  • Risk & Governance
  • Identify, assess, and escalation technical or regulatory risks.
  • Ensure all investments and transactions meet legislative and scheme requirements.
  • Support trustees and clients in understanding their responsibilities and obligations.
  • Team Development
  • Contribute to process improvements, system enhancements, and operational efficiencies.
  • Support the development of technical guidance and best-practice documentation.

The Ideal Candidate

  • Minimum 4 years' experience in property administration.
  • Proven experience managing commercial property transactions within pension schemes.
  • Experience administering loanbacks and connected-party transactions.
  • Excellent communication and stakeholder management skills.
  • Strong organisational skills with exceptional attention to detail.
  • Ability to work independently while managing a varied and complex workload.
  • Monday - Friday 9am-5pm
