The Accounts Payables assistant is a part of the Group Finance team. Those tasks and responsibilities are integral to the Account Payables function for all companies within the Four Group.
Responsibilities
- Agent Provocateur Limited (APL) – Stock‑Related Accounts Payable (Approx. 450 invoices per month)
- Manage stock prepayments payments for various stock orders/vendors.
- Process stock supplier invoices accurately without delay, by 3-way match.
- Match and post supplier invoices against stock purchase orders (POs) and goods received notes (GRNs), investigating and resolving quantity or price variances.
- Perform regular stock supplier account reconciliations and resolve discrepancies.
- Prepare and assist with stock‑related payment runs in line with approved schedules.
- Month end factory stock payments in advance reconciliation to TB.
- Other Four Group Entities – Stock & Non‑Stock Accounts Payable (Approx. 50 invoices per month)
- Process stock supplier invoices accurately without delay, by 3-way match.
- Match and post supplier invoices against stock purchase orders (POs) and goods received notes (GRNs), investigating and resolving quantity or price variances.
- Process non‑stock supplier invoices accurately and in accordance with Group policies.
- Match and post non‑stock supplier invoices against approved purchase orders (POs) where a PO is required, ensuring appropriate authorisation prior to posting (2-way match).
- Assist with non‑stock payment runs and ensure payments are made in line with agreed terms.
- Reconcile supplier statements and resolve non‑stock invoice or payment discrepancies.
- Shared Responsibilities (All members of the payables team, across All Entities)
- Monitor and manage the shared Accounts Payable mailbox, triaging incoming invoices and queries and responding in line with team procedures.
- Maintain best practice for checking and creating new suppliers on the ERP.
- Maintain best practice for change in suppliers’ bank details.
- Ensure payables processes comply with internal policies and fraud prevention.
- Support external audits by providing documentation.
- Act as a point of contact for internal and supplier queries.
- Maintain Vendor master data.
- Ad‑hoc queries as required by Senior Management.
