Working Pattern: Full Time (36.5 hours per week, Monday - Friday, occasional Saturday evenings with time in lieu)

Role Overview: Our client is seeking an enthusiastic and proactive Office Administrator to join their friendly and efficient team. This pivotal role involves core office administration, customer service, and booking coordination, all while ensuring a warm and inviting atmosphere for visitors. The successful candidate will also have the opportunity to engage in digital communications and support a diverse range of groups that utilise the church's facilities.

Key Responsibilities:

  • Reception Management: Ensure a welcoming reception area for all visitors. Greet visitors and inform relevant staff of their arrival. Manage key issuance and recovery for building users.
  • Customer Service: Provide high-quality service to all inquiries via phone, email, or in person. Log messages and manage correspondence efficiently. Receive and distribute post and deliveries.
  • Administrative Support: Collaborate with the Office Manager to provide administrative assistance to church ministers and members. Prepare materials for meetings and church services, including newsletters and PowerPoint presentations. Maintain data accurately in the Church Suite database.
  • Booking Coordination: Handle customer inquiries and discuss booking details professionally. Create and maintain booking forms and invoices. Implement feedback to enhance service offerings and assist with marketing efforts.
  • Additional Duties: Adhere to the organisation's policies on equal opportunities, health and safety, and safeguarding. Participate in training and professional development as needed.

Ideal Candidate:

  • A welcoming and friendly demeanour, with a strong client focus.
  • Excellent organisational and planning skills.
  • Strong communication and IT skills, including proficiency in Word, Excel, and PowerPoint.
  • Experience in customer service, particularly in handling challenging situations.
  • A proactive approach with the ability to work collaboratively in a team environment.
  • Familiarity with social media management is a plus.
