The client: Family Office

This client is a London based family office with interests spanning property, art and investments.

The role: Executive Assistant

This role will directly partner a company Director as well supporting the wider management team as required.

Candidates will be assured with excellent organisational and planning skills, strong attention to detail, with a track record of owning projects and acting with discretion while supporting business and personal/family office activities.

Key Responsibilities include

  • Executive Support
  • Manage a complex and ever-changing diary, ensuring priorities are aligned with business objectives.
  • Screen and manage emails, correspondence and telephone calls, responding on the Director's behalf where appropriate.
  • Prepare reports, presentations and confidential documentation to a high standard.
  • Family Office & Personal Support
  • Assist with the day-to-day management of the Director's personal and family affairs with complete discretion.
  • Coordinate personal appointments, travel arrangements and diary commitments for family members where required.
  • Liaise with household staff, property managers, contractors and external service providers.
  • Assist with the administration of residential properties, maintenance schedules and supplier relationships.
  • Maintain confidential records and ensure important documentation is securely organised.
  • Liaise with accountants, solicitors, wealth managers and other trusted advisers when required.
  • Handle ad hoc personal projects and sensitive matters with professionalism and discretion.
  • Business Operations
  • Coordinate UK and international travel, accommodation and itineraries.
  • Support project delivery across the business, coordinating activities between colleagues.
  • Assist with office management and operational administration where required.

Skills & Experience

We're looking for someone who has

  • Previous experience as an Executive Assistant, Senior EA, Executive PA or Private PA supporting a Director or business owner.
  • Experience supporting both business and personal/family office activities would be highly advantageous.
  • Exceptional organisational and planning skills.
  • Outstanding attention to detail.
  • Excellent written and verbal communication skills.
  • Strong Microsoft Office skills (Outlook, Word, Excel and Power Point).
  • The ability to manage multiple priorities while remaining calm under pressure.
  • Absolute discretion when handling confidential information.
  • A proactive, resourceful approach with excellent judgement and problem-solving skills.
