The role as Operational Support Assistant will require the successful candidate to work closely with the two senior Administrators and operations director. The role will be office based at our location just outside Ipswich working Monday – Friday 8:30am – 5:00pm. The successful candidate will need to experienced using Microsoft Office and be a competent user of Excel for day to day work. Training and support will be provided by the business however the apatite to learn, develop and be a team player is required. Further details on the role are:
· Uploading data to UKPN’s chimes system from our systems
· Creating and maintaining excel spreadsheets to keep track of data and jobs and ensuring these are filled in and kept up to date every day
· Assisting with mapping for surveyors and plotting the maps for them, creating maps and allocating these to surveyors.
· Taking phone calls and resolving any customer issues arising with professionalism and liaising with UKPN for any customer needs like generation or complaints, moving shutdowns, giving / removing permissions, passing on information to tree cutters and surveyors.
· Assist with quotation for Reactive work stream, including updating reactive spreadsheets and amending quotes/costings and ensuring the quotes are then updated on UKPN’s systems (worms).
· Assist with mapping using the UKPN’s maps for the reactive work stream for cutters and surveyors as well as helping the cutters locate transformers to allow them to log onto the network for their daily whereabouts and for control who they call in too to work.
· Generate insights and recommendations on how PTC internal systems can be improved.
· Processing quotations for the clients.
· Identify areas to increase efficiency and automation of processes.
· Set up and maintain automated data processes and reports.
· Assist with the development of any new data capture or reporting requirements, liaising with internal and external clients to fully understand content and document business requirements.
· Help with weekly invoicing & ensuring costs are looked after / updated and collated and invoicing reports done and processed
· Help look after WIP (work in progress) and solve outstanding invoicing queries and chase any outstanding queries.
· Helping to update the diary with SAP / LV Techs shutdowns and assisting with any queries and working with the area managers to record teams for the jobs.
· Assisting with checking invoicing for subcontractors for area managers and UKPN contract managers & resolving any queries to ensure payments equate to what is being charged with the UKPN and raising PO’s / queries with UKPN.
· Assist with uploading data reports for the UKPN on their systems and sending these over to the area managers.
· Assisting area managers / contract managers with up to date cut data reports for weekly / monthly numbers where required as well as surveying numbers
· The ability to be organised when working with time constraints
