Our client is seeking a highly organised and detail-focused PA / Document Controller to support their project team. This role is ideal for someone who enjoys creating structure, keeping information accurate, and ensuring projects run smoothly.
The successful candidate will provide essential support by managing project documentation and assisting with day-to-day administrative tasks. They will help the team stay on top of deadlines, organise information, and maintain clear communication internally and with clients.
Key Responsibilities
- Maintain project filing systems and document registers, ensuring all information is current and clearly referenced.
- Manage the receipt, issue, and storage of drawings, reports, specifications, and correspondence.
- Upload and download documents via client portals such as SharePoint or Aconex.
- Prepare reports, meeting packs, and monthly submissions.
- Support the creation of RAMS, O&M manuals, and handover documentation.
- Organise meetings, prepare agendas, and take minutes where required.
- Track deadlines, actions, and submissions, keeping the project team informed.
- Act as a central point of contact for project information, liaising with client administration teams.
- Provide PA-style support including diary management, travel arrangements, and general correspondence.
Skills & Experience
- Previous experience in document control, project administration, or PA roles, ideally within construction, engineering, or a related sector.
- Strong IT skills, particularly Microsoft Office.
- Familiarity with document management systems or client portals is advantageous.
- Excellent organisational skills, with the ability to manage multiple priorities and deadlines.
- High attention to detail and accuracy.
