We have an exciting new opportunity to join our People Team on a fixed-term contract as a People Assistant to provide maternity leave cover during a busy period at Pragmatic Semiconductor. Reporting to the Senior People Operations Manager, you will provide proactive and professional HR support across all areas of the employee lifecycle including onboarding, immigration and relocation support. You will be the key point of contact for HiBob Administration, including maintaining data accuracy and reporting, and acting as the first point of contact for employee queries. You will provide payroll and benefits administration back-up, and support projects across the People team, with a focus on People Operations and Reward. The role can be based at either of our busy offices in Cambridge or Durham, with hybrid working options available. While this is intended to be a full-time role, we are open to discussing alternative arrangements with candidates. Please note, Visa sponsorship will not be available for this position; candidates will therefore need to be able to provide evidence of Right to Work in the UK. Key Tasks
- Employee Lifecycle Administration: Administrate core People processes, including onboarding, offboarding and employee changes. Prepare employment contracts, letters, and documentation for new starters, promotions, maternity leave, salary increases or changes to terms. Ensure processes are clearly documented. Manage third party employee referencing.
- HR system Administration: Act as the primary administrator and expert for our People System (HiBob). Maintain accurate employee records and ensure the system reflects up-to-date and compliant data. Keep up to date with new system releases and look to continuously improve and automate People team processes.
- Reporting: Maintain regular People reports and dashboards (e.g. headcount, turnover, DEI metrics). Support ad hoc data requests from internal stakeholders.
- Employee Relations: Monitor the People teamβs shared inbox, respond to general queries, and elevate more complex matters to People Advisors. Support People Advisors with Employee Relations cases where required.
- Relocation and Immigration: Liaise with external providers to coordinate relocation and immigration support for employees, ensuring a smooth and compliant process. Conduct right to work checks, maintain compliant records for audits and track visa expiry dates. Keep up to date with any relevant legislation, including updating the People team and other key stakeholders.
- Payroll and Benefits Administration Support: Act as a backup for payroll processing, supporting where required with monthly payroll tasks and ensuring accuracy and timeliness. Act as cover for benefits administration where necessary, including issuing benefits letters.
- Project Support: Contribute to ongoing People projects, such as the rollout of new HR systems or HiBob modules, process improvements, and reward and recognition initiatives.
Qualifications and Training
- Qualified to CIPD Level 3, or equivalent experience (beneficial but not essential)
- Working knowledge of UK Immigration Law and best practice for People processes (desirable but not essential)
