The Payroll Specialist is responsible for the timely and accurate preparation of payroll in a shared service environment including but not limited to commission/bonus validation, straight and overtime wages, withholdings for federal, state, local and FICA taxes, deductions for employee benefits, and garnishments.
- Process and records payroll data accurately and on a timely basis.
- Manages the bi-weekly payroll process utilizing ADP Workforce Now and time and attendance through Enterprise eTime.
- Communicates with the Human Resources Department to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes. Makes updates as necessary.
- Processes special payrolls as necessary including travel expense reimbursements, commissions, bonus and year-end adjustment payrolls.
- Ensures proper filing of required state and federal payroll tax returns.
- Researches and resolves questions from managers and employees as they relate to the processing of payroll information such as banking, garnishments, retroactive pay calculations, tax questions, and other changes.
- Responsible for month-end journal entries and reconciliations.
- Ensures compliance with internal controls in accordance with policy.
- Looks for areas of process improvement to ensure efficient and effective processing of payroll.
- Provides information for monthly key performance indicators.
- Assists in special projects as required.
Qualifications:
- Bachelor’s in related field preferred.
- 4+ years of experience or familiarity with US payrolls, labor laws and filing or the ability to quickly learn and apply them; training and instruction provided.
- Experience with ADP and/or ability and willingness to learn ADP to an advanced level.
- Ability to work independently and/or within a collaborative team structure.
- Positive, self-motivated individual with a high level of enthusiasm and willingness to learn and incorporate coaching and instructions into daily tasks and assignments.
- Highly organized with critical attention to details, along with good time and priority management.
- Demonstrated proficiency of Microsoft Office Suite (Word and Excel).
- Strong communication skills in two parts: 1.) very strong writing skills utilizing the rules of English grammar; 2.) verbally clear, concise, and grammatically correct oral (speaking) communication skills in English.
