From sporting events to concerts, festivals to film, have you ever wondered how the world's most prestigious live events get powered? Power Logistics is looking to recruit an Office Co-ordinator to join its team responsible for delivering temporary power to a portfolio of projects that have included the Olympic and Commonwealth Games Ceremonies, Extreme E races, BST Hyde Park, Platinum Jubilee and many other of the UK's largest festivals and sporting events.

About the role:

We are looking for an organised, proactive and solutions‑focused Office Co‑ordinator to support our Commercial and Operations teams. You'll be at the centre of project delivery — ensuring crew, equipment, transport, fuel and site accreditation requirements are managed effectively and delivered on time. Working closely with Project Managers, the Senior Operations Manager and the Procurement Manager, you'll help keep our projects running smoothly, efficiently, and within budget. Your main responsibilities will include:

  • Office & Project Administration
    • Allocate and prioritise project requests for crew, equipment, fuel, transport and site ancillaries.
    • Track, chase and follow up on outstanding requests to keep workflows moving.
    • Manage the enquiries inbox and log new enquiries using company systems.
    • Manage and keep maintained the Project Tasking board.
  • Equipment & Resource Allocation
    • Act as the main contact for all plant equipment requests.
    • Source additional equipment from approved external suppliers, working closely with the Asset Controller and Procurement Manager.
    • Assist with transport planning and communication of all delivery/collection arrangements.
    • Support Procurement Manager to ensure all project purchase orders meet budget requirements and are completed before project start dates.
    • Follow company procedures to book fuel and site ancillaries from approved suppliers.
  • Sub‑contractors, Accommodation & Accreditation
    • Maintain crew tracking and admin tracking documents.
    • Manage the freelancer database and ensure documentation remains up to date.
    • Oversee subcontractor onboarding and maintain subcontractor guidelines.
    • First approver for subcontractor and extras invoices.
    • Prepare and distribute crew information sheets.
    • Provide clients with details required for site permits and accreditation processes.
    • Arrange project accommodation and travel within budget and following internal processes.
  • Line Management
    • Manage a small administrative team.
    • Carry out performance reviews and check timesheets for any direct reports.
    • Approve holiday and appointment requests to ensure adequate departmental cover.
    • Maintain and regularly review internal procedures and promote cross‑training within the team.

About You
