Job Description The Project Administrator/Senior Project Administrator is responsible for supporting the Project Team in coordinating, planning, monitoring, and administrating projects from conception through implementation. Responsibilities include order review, entry, scheduling, budget management, agreements, funding, purchasing, expediting, change management, invoicing, collections, monitoring, reporting, addressing shortages, problem reports, and post-sales services. Key duties include: Supporting project activities from initiation to closeout. Assisting in creating purchase order requisitions and monitoring buyouts and material shortages under the guidance of the Project Manager. Helping Project Managers with accounts receivable and invoice generation. Monitoring scheduling and financial variances using Powell’s business control systems. Drafting and issuing change orders, budgets, and preliminary schedules. Coordinating with stakeholders to gather and disseminate project information. Maintaining and monitoring project schedules. Preparing reports such as forecasts and budget status updates. Tracking KPIs and supporting project documentation and record keeping. Managing office administration tasks and supporting meetings and communications. Taking meeting minutes, tracking action items, and performing follow-ups. Mentoring junior Project Administrators and supporting continuous improvement initiatives. Experience and Qualifications Minimum five years of experience in project support roles. Strong communication skills for effective interfacing with executives, employees, and clients. Ability to manage multiple priorities and projects efficiently. Excellent organizational and time management skills. Proficiency in MS Office; experience with Adobe Pro, Primavera, Microsoft Projects, and Oracle is preferred. Associate’s or Bachelor’s degree in Business Administration, Project Management, or an Engineering-related discipline. Knowledge of project planning, fiscal planning, and contract management is a plus.
