Pow Food is a nutrition-led contract catering business delivering exceptional workplace hospitality across London. We partner with forward-thinking organisations to create food experiences that improve wellbeing, support productivity and bring people together.
Alongside our contract catering business, we have launched NUUDA, our direct-to-consumer frozen food brand, extending our passion for nutritious, chef-prepared food beyond the workplace.
We are growing quickly, with significant new contract opportunities in our pipeline, and are investing in the operational infrastructure to support that growth.
Purpose of the Role
The Client Operations Manager is the operational heartbeat of the business, responsible for ensuring that every client order, menu, production schedule and service runs accurately from start to finish.
Working across Sales, Kitchen, Logistics and Client Services, the successful candidate will make sure the right information reaches the right people at the right time - and will take ownership of improving how that happens.
This is not an administrative role. We are looking for someone who solves problems, takes decisions and builds smarter, more efficient ways of working as the business scales.
Key Responsibilities
Client Operations
- Own the weekly menu process for our corporate clients.
- Ensure menus accurately reflect dietary requirements, allergens and site preferences.
- Coordinate menu changes and communicate updates to clients and internal teams.
- Maintain accurate records and version control across all client documentation.
Operational Planning
- Translate confirmed client orders into clear production plans for the kitchen.
- Prepare and maintain Operational Production Sheets (OPs).
- Ensure every order is complete, accurate and production-ready.
- Identify and resolve discrepancies before they become operational issues.
- Ensure the kitchen has everything it needs to deliver outstanding service.
- Coordinate ordering schedules, packaging requirements and production information.
- Support inventory processes and stock management.
- Communicate changes quickly and accurately across operational teams.
Food Safety & Compliance
- Produce allergen matrices, buffet cards, menu signage and food labels.
- Ensure all food information documentation is accurate, compliant and issued before dispatch.
- Maintain high standards of version control across all customer-facing food information.
Client Experience
- Act as a key day-to-day contact for our clients.
- Respond promptly to enquiries and operational requests.
- Coordinate menu amendments and personalised client requirements.
- Support service recovery and resolve issues professionally.
- Build trusted relationships through proactive communication.
An important part of this role is to continually strengthen operations as the business grows.
- Improve operational systems and workflows, and simplify repetitive processes.
- Identify opportunities to automate tasks using AI and technology.
- Reduce manual administration and improve accuracy.
- Develop clear Standard Operating Procedures (SOPs).
Person Specification
- A minimum of three years' experience in hospitality client operations, ideally within catering, workplace food, events or a similar fast-paced service environment.
- Strong experience managing client-facing operational processes from order through to delivery.
- Exceptional organisational skills and meticulous attention to detail.
- The ability to manage multiple priorities without losing accuracy.
- Excellent communication and relationship-building skills.
- Confidence working with operational systems, spreadsheets and digital tools.
- A problem-solving mindset and the confidence to make decisions.
- Experience producing allergen and food information documentation in a regulated food environment.
- Experience implementing process improvements or new operational systems.
- An interest in AI, automation and operational efficiency.
- Level 3 Food Safety, or willingness to obtain.
