What You’ll Be Doing

The Publishing Team Assistant role is dynamic and will provide comprehensive administrative support to the Pottermore team, including the Managing Director. Responsibilities will evolve based on business needs. Initially, around 50 % of the role will involve supporting the marketing team during a period of significant launch activity; however, over time, duties may shift to other areas of the business as priorities change.

Summary Of Duties

  • Proactive diary management and administrative support as required for the Pottermore Leadership Team (PLT), particularly for the Managing Director
  • Preparation, planning and scheduling of meetings, to support the PLT and Marketing Team including: booking meeting rooms and online meetings, providing presentation materials where necessary, developing and distributing agendas in advance, taking meeting minutes and actions as needed and circulating in a timely fashion
  • Management of travel and entertainment bookings including flights, visas, hotels & restaurants, ensuring budgets and travel policies are adhered to.
  • Planning and making arrangements for team social activities such as the Summer Picnic and Christmas lunch.
  • Overseeing the team onboarding process by scheduling in key welcome meetings for new starters and keeping the onboarding presentations and documents up to date.
  • Management of team SharePoint spaces including arranging quarterly data hygiene sessions, ensuring file organisation and naming conventions are adhered to and support for developing the ongoing file archiving process
  • Assist the company’s wider administrative team as required, including: liaising closely with Blair Partnership colleagues via the network of EAs and other team assistants, supporting front office duties, managing team desk bookings, assisting with ad‑hoc tasks and projects as requested

Marketing Team Support

  • Assist marketing team on managing marketing approvals accurately and efficiently
  • With the help of the accounts and marketing teams, build and coordinate the monthly retailer newsletter and manage and update the marketing calendar
  • Write and schedule content for pottermorepublishing.com and Pottermore’s LinkedIn page
  • Own key team folders on the server to ensure all work is organised and saved in a logical and easy‑to‑find way and can be referred back to easily

PERSON SPECIFICATION

  • Previous experience as a team assistant, including managing fast‑changing diaries, preferable
  • Familiarity with MS Office (Outlook, Word, Excel, PowerPoint); knowledge of Teams and SharePoint is a plus.
  • Background in trade publishing or an interest in Harry Potter and the Wizarding World is an advantage (mastermind‑level knowledge not required).
  • Interest in marketing or communications within media, publishing, or entertainment sectors.
  • Excellent communication skills – both verbal and written.
  • Experience in writing copy or working with copywriters helpful
  • Highly organised, detail‑oriented, accurate, and reliable.
  • Able to prioritise and manage multiple projects in a fast‑changing environment, working autonomously and meeting tight deadlines
  • Strong team‑working skills with the ability to build positive relationships across internal and external teams
  • Creative, adaptable, and innovative approach to problem‑solving
  • Friendly, confident, and approachable with a positive, enthusiastic attitude
  • Flexible and agile in responding to changing priorities
